Primary Purpose of Organizational Unit
In service of the University’s mission, Digital and Lifelong Learning works with units to support the development of digital programs and pedagogies, as well as other flexible and/or nontraditional learning experiences. We offer a variety of credit and professional (i.e., non-credit) programs through our unit and also provide support for programs across the University. In support of these programs, we provide strategy, coordination, and services to meet program needs, including but not limited to marketing, recruitment, program/course design and development, conference and event planning and support, and student/participant support. Through our programs and services, Digital and Lifelong Learning extends access to education for participants across the state and beyond and enables campus units to expand, share, and collaborate through support for their own research and educational programs.
Position Summary
The Accounting Office Supervisor reviews reconciliations by Accounting Technicians of financial transactions posted in ConnectCarolina (PeopleSoft) for accuracy, monitors the balances of various funding sources, and provides reporting to the Business Office Manager to assist in reconciling budgets and projected revenue and expenses. The Accounting Office Supervisor will directly supervise accounting staff within the Business Services Center of Digital and Lifelong Learning (DLL) and is instrumental in upholding the strategic goals of the Department while maintaining established State, University, and unit-level accounting processes and procedures that ensure accurate and compliant financial transactions and bookkeeping using Generally Accepted Accounting Principles (GAAP).
The Accounting Office Supervisor reports to the Business Office Manager and will work closely with DLL leadership to provide ongoing financial support for multiple DLL funds including State (appropriations and receipts), Facilities and Administrative (F&A), Trust, and Endowment sources. The Accounting Office Supervisor will review business office transactions, monitor account balances, address client and campus billing inquiries, and manage the daily activities of two Accounting Technicians, one Cashier, and any temporary accounting office employees. The position will be responsible for the hiring, training and supervision of accounting employees including staff development, recruitment, and performance management.
The Accounting Office Supervisor initiates financial transactions requiring senior accountant level processing and provides timely feedback to stakeholders across multiple functional areas and programs within Digital and Lifelong Learning to ensure financial understanding and transparency; address inquiries; and ensure accounting accuracy and compliance with regulations and procedures. These functional areas include Summer School, Credit and Non-Credit Programs, Conference Services, Continuing Education, and unit-level operations in accordance with established budgets.
The effectiveness of the Accounting Office Supervisor requires accounting expertise and extensive use and knowledge of University Enterprise Planning Systems (ERP) such as ConnectCarolina, Infoporte (financial reporting), invoice and billing management systems (i.e.EMS), and other financial and payment programs used by the Department to audit and approve transactions affecting budgeted revenue and expenses.
Minimum Education and Experience Requirements
Mid-career with Masters and 1-2 yrs experience; or Bachelors and 2-4 yrs experience
Required Qualifications, Competencies, and Experience
Solid accounting and financial knowledge, excellent communication and organizational skills, the ability to work with a variety of departmental and university personnel, and the ability to multitask in a fast-paced environment. Must be accurate, timely, with the ability to audit work product of others and financial reports and provide high attention to detail. Must be able to use Microsoft Suite, including advanced Microsoft Excel skills to create standard templates or reports with professional visuals and functions. This position should be able to make significant independent decisions using their professional judgement, knowledge, and experience, and consults with the Business Office Manager. This position should also have knowledge of Internal Revenue Service (IRS) rules and regulations and knowledge of accounting software.
It is essential for the Accounting Office Supervisor to possess a thorough knowledge of general accounting principles and practices and be able to interpret financial and accounting data. Experience with applying technical accounting is required. The Accounting Office Supervisor must possess excellent communication skills; listening and interpretive; written and oral for documentation. Efficiency in Microsoft Suite is critical. Ability to assess the accuracy, validity, and integrity of data. Strong problem-solving skills and ability to work with deadlines in a fast-paced environment.
Preferred Qualifications, Competencies, and Experience
Experience working at the University of North Carolina at Chapel Hill or in higher education using ConnectCarolina (PeopleSoft), Infoporte, Concur, and Tableau reporting. A strong knowledge of the UNC Chapel Hill business accounting procedures and regulations on state, overhead, and trust accounts. Experience supervising a team and providing exceptional financial reporting services to internal and external customers.
MBA in Accounting, Business or Finance.
Special Physical/Mental Requirements
It is extremely essential that complete and accurate financial transactions are reviewed, managed, and reported with absolute accuracy. Efficient management of the financial data is essential so that auditors, program managers, and administrators can be assured of accuracy.
Mismanagement of funds and transactions has a high consequence of error and can result in unnecessary costs to the Department, University, or State in the form of loss of funds, incorrect reporting to leadership, time spent by staff to re-analyze reports, and general overhead costs to correct errors. Subsequently, inaccurate data could lead to inadequate budgets and deficient program management, impact to clients, and serious financial consequences to the Department and University.
