Scope of Responsibilities 

The Finance office supports the overall financial operations of the Campus Life department.  This office is charged with all financial transactions for the department, handling bi-weekly payroll functions for over 180 part-time and student employees, invoicing, accounts receivable, performing complex accounting services related to preparing, analyzing, maintaining and reviewing various financial statements, records and reports, training, payroll and other administrative items that affect the Campus Life units.

Duties                                                                                                     % of Effort


Responsible for various monthly reconciliations including, but not limited to, approximately 15 operational accounts for Conference and Event Service and Venue and Production Management, complex reconciliations for the departmental accounts receivable accounts as well as a detailed cost analysis for resale revenue. These reconciliations involve various software programs including SAP, Momentus, Cybersource and PayConex. Research and resolve problems pertaining to financial reporting systems, ensuring compliance with University procedures and policies.

Responsible for payroll transactions that occur throughout the department on a daily, weekly and monthly basis including, but not limited to, initiating the hire process for student employees, weekly timesheet batching and posting and contact with nonexempt and student staff regarding payroll deadlines, discrepancies or adjustments. Work with Campus Life staff to resolve payroll issues in Duke@Work and API on a weekly basis and ensure that accurate time is being recorded and submitted.

Responsible for various monthly processes for the Duke University Marine Lab including but not limited to, monitoring of alcohol account, posting inventory batches for the Ship’s Store, reconcile 3rd party vendor invoice for snack and drink machines to Duke Card flex and cash sales. Process weekly invoices for the Marine Lab that bill internal Duke departments as well as external clients for services provided. These include invoices for academic year field trips, catering, special events, retreats, summer camps and conferences.

Process weekly invoices for Campus Life that bill internal Duke departments as well as external clients for services provided. These include invoices for theatre events, summer camps, conferences, catering, athletic events and major university events such as commencement and alumni reunion weekend.

Maintain approximately 80 standing purchase orders for the department. Submit weekly missing credit card transaction reports to all Campus Life staff members.

Prepare general and standard journal entries, account reconciliations, cost reports and various other accounting statements and reports; provide interpretation of results as appropriate. Process and upload to SAP the following financial transactions: internal invoice payments via IRI, revenue transfers and various journal entry adjustments.

Perform related duties as assigned or required to meet department, division and University goals and objectives.

General Qualifications

Work requires one year of experience in an accounting setting to become familiar with the accepted accounting practices involved in monitoring financial systems and resolving complex accounts.  A thorough knowledge of mathematical, accounting and communications principles normally acquired through two years of postsecondary education and four years of relevant work experience in a business office or similar setting to acquire skills in administrative responsibilities and accounting practices. 

Education/Training
Work generally requires a bachelor's degree in Accounting, Business or a directly related field.
Or, any other equivalent combination of relevant education and/or experience.

Specific Skills and Competencies

  • High level of proficiency in computer applications such as Word and Excel;
  • Ability to learn new systems and applications as required;
  • Basic understanding of relational database management systems;
  • Excellent organization skills and the ability to manage concurrent projects within established guidelines;
  • Strong communication skills – verbal, written and interpersonal;
  • Ability to work independently and as a member of a team, with a commitment to collaboration;
  • Ability to problem solve at many levels

Minimum Qualifications


Education

Work generally requires a bachelor's degree in Accounting, Business or a directly related field.


Experience

No experience required for candidates who possess a Bachelor's degree in a field of study related to the specific position OR have four years of directly related experience without a Bachelor's degree.
