Job Description

The Department of Psychology in The College of Liberal Arts and Sciences seeks a highly motivated and detail-oriented individual to fill the position of Academic Personnel Specialist to perform work of considerable responsibility in supporting administrative services. The Academic Personnel Specialist will perform complex academic personnel actions and faculty recruitment processes; coordinates department meetings and events, and maintains official records.

The successful candidate will demonstrate the ability to maintain effective working relationships in a diverse population and have experience in maintaining confidential and sensitive information. Knowledge of academic and university policies and procedures and the ability to identify and implement best practices is preferred. The incumbent will have contact with high-level administrators requiring use of business vocabulary, tact, discretion and judgment. The candidate will report to the Senior Business Operations Manager.

Essential Duties

  • Coordinates faculty academic personnel actions within the Department of Psychology through the various university platforms, including faculty promotion and tenure, sabbatical reviews, evaluation of probationary faculty, annual evaluations of faculty, postdocs and academic professionals. 
  • Serves as the main point of contact for Interfolio Faculty Information System /APARS for Faculty Search, ASU Vita and Review, Promotion & Tenure.
  • Provides support to the Associate Chair and faculty committees that oversee faculty P&T, evaluations, and faculty searches.
  • Coordinates with Senior Business Operations Manager annual renewals and confirms funding availability.
  • Serves in a confidential capacity on sensitive matters concerning faculty.
  • Supports the planning and coordination of Department events, meetings, visiting guests for interviews and colloquia, faculty retreats, and other special events. Coordinates and oversees Homecoming and Open Door.
  • Independently composes correspondence on a variety of subjects requiring judgment, originality and knowledge of issues involved.
  • Serves as contact for faculty searches and hires incl. applicant approval.
  • Supports, cross-trains and serves as backup for faculty searches at the administrative level, such as creating itineraries and resources for committee collaboration, and collaborating with the college.
  • Supports, cross-trains, and serves as backup for HR processes affecting faculty and academic personnel.

Minimum Qualifications

Bachelor's degree and four (4) years administrative support experience; OR,Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience with faculty personnel actions (promotion and tenure, expedited reviews, probationary reviews, post-tenure reviews, promotion process for fixed term, teaching and research faculty, sabbatical leaves) in a higher education environment.
  • Experience with faculty recruitment processes.
  • Experience with using Interfolio products such as Faculty Search, ASU Vita and Review, Promotion & Tenure.
  • Experience working in higher education at the leadership level.
  • Experience coordinating events.
  • Demonstrated knowledge of academic policies, procedures, and organization.
  • Demonstrated knowledge of program management and administration principles, practices and procedures.
  • Experience using Microsoft Office software.
  • Experience taking initiative, strong organizational skills, and attention to detail.
  • Evidence of effective communication skills.
  • Experience in dealing with a wide range of topics, including confidential and sensitive information.
  • Experience in maintaining effective and collaborative working relationships in a diverse population.
  • Experience in analyzing and comprehending complex issues.

Working Environment

  • Activities are primarily performed in a climate-controlled office setting subject to extended period of sitting.
  • Visual acuity and manual dexterity associated with daily use of computer.
