The Engineering Dean's Office at Arizona State University is searching for an Academic Personnel Specialist, a position with considerable responsibility in administering services and administrative support to the Vice Dean of Faculty Administration and the Associate Dean of Inclusive Excellence, in addition to supporting the Academic Personnel team with meetings, events, and record management.

To be successful in this role, you must be skilled in handling confidential and sensitive information, have the capability to administratively support multiple administrators simultaneously, and have a deep knowledge and understanding of academic and university policies and best practices. 

You will coordinate multiple high-level tasks simultaneously and autonomously, which include personnel matters, and proactively manage a wide range of projects and initiatives with support from various personnel.

Essential Duties

Proactively supports in coordinating and managing a wide range of projects and initiatives for the Engineering Dean's Office.

Manages:

  • Vice Dean of Faculty Administration’s and Associate Dean of Inclusive Excellence’s calendar to ensure optimal use of time. 
  • Vice Dean of Faculty Administration’s and Associate Dean of Inclusive Excellence’s travel authorizations, travel claims, as well as on and off-campus meetings. Compiles, prepares, completes, submits, and maintains background materials.
  • Creation, receipt and maintenance of processes and procedures for academic personnel records such as within DocuWare, Interfolio products (Faculty Search, Faculty180 (ASU Vita) and Review, Promotion & Tenure) and SharePoint that support the college both independently and within a team.

Coordinates:

  • College level meetings, workshops, and events of a complex, multi-faceted nature. Responsible for all logistical planning including budgeting, communications with service providers, and payment/reimbursement processing.
  • Academic data collection, preparation, analysis, and reporting through university platforms.
  • Document processes and procedures and contributes to DocuWare reporting efforts that support the college both independently and within a team.
  • Interprets university and Board of Regents policy pertaining to faculty and academic professionals. 
  • Independently composes correspondence on a variety of subjects requiring judgment, originality and knowledge of issues involved.
  • Participates in meetings and conferences pertinent to area of responsibility.
  • Support of the academic personnel actions in the college.

  • Performing detailed and complex reports, including analysis and evaluation of academic data.

Minimum Qualifications

Bachelor's degree and four (4) years administrative support experience; OR,Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience directly supporting an administrator, preferably in a higher education environment.  
  • Experience processing ASU reimbursements.
  • Experience coordinating events.
  • Experience working in higher education and knowledge of university policies and procedures with emphasis on academic personnel.
  • Experience with faculty personnel actions (promotion and tenure, sabbatical leave requests, expedited reviews, post-tenure reviews, evaluation of probationary review, career-track, instruction and research faculty promotions, annual evaluations, evaluation of conditional contracts, probationary extensions, retirements, resignations, and emeritus status).
  • Experience with Interfolio products (Faculty Search, Faculty180 (ASU Vita) and Review, Promotion & Tenure).
  • Experience using MS Office applications (i.e., Excel, PowerPoint, Word, Outlook).

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Ability to clearly communicate the essential functions of the position.
  • Regular activities require the ability to quickly change priorities.
  • This position receives regular review of objectives.
