Academic Coordinator - Talbot NT, OT, TH, CT

BASIC FUNCTION AND RESPONSIBILITY

Assist and coordinate office and administrative and academic services for the Chair of the New Testament Department, Chair of the Old Testament Department, Chair of the Theology Department, and Program Director of Classical Theology.

ESSENTIAL DUTIES

  • Provide administrative support for the Chair of the New Testament, Old Testament, and Theology Departments and the Program Director of Classical Theology.
  • Plan and budget events, conferences, lecture series, department meetings, and receptions.
  • In coordination with the Assistant Dean, schedule classes for departments, ensuring classroom availability.
  • First line of contact for student advising and curriculum planning.
  • Administrative oversight for hiring of full time and adjunct professors.
  • Review and revise class descriptions for annual catalog revisions.
  • Study and develop office systems and processes to better serve students and faculty.
  • Direct all travel arrangements.
  • Maintain up-to-date program information to assist students in the registration process, approve and sign registration cards for signature-required classes.
  • Oversee Masters’ theses in three departments.
  • Monitor enrollment, and coordinate enrollment requirements with respective faculty.
  • Provide administrative support for faculty of the New Testament Department, Old Testament Department, and Theology Department.
  • Perform course-related tasks for Department Faculty (e.g., textbook orders, desk copies, library copies, grade submission, class evaluations).
  • Develop systems and processes for course material distribution with the Bookstore, using modern technology.
  • Develop budget and system for departmental self-publications.
  • Assist with Talbot Study Tours.
  • Supervise and delegate tasks to one student assistant.
  • Manage and review the department budgets.
  • Prepare and track all accounting documents such as Purchase Orders, Reimbursement Requests, Journal Entries, Journal Receipts, Compensation Requisitions, and Wire Transfers.
  • Other duties as assigned.

EXPERIENCE AND EDUCATION REQUIRED

  • High School diploma required, B.A. and/or some academic background preferred.
  • 2-4 years full-time clerical/office experience.

  • Excellent oral and written communication, grammar and spelling skills, and telephone manners.
  • Excellent interpersonal skills and works well with a team.
  • Ability to work with a diverse constituency and promote an effective work environment.
  • Strong problem solving capabilities and innovation, as well as knowledge of office and administrative practices and principles.
  • Type a minimum of 50-65 words per minute with accuracy.
  • High level of computer skills with working knowledge of Mac and PC computers, Microsoft Office, Google Applications and Adobe Acrobat.
  • Ability to use office equipment, copier, fax machine and multi-extension telephone.
  • Willing and able to serve as interdepartmental courier, making frequent deliveries and pickups and performing other jobs that require substantial walking around the campus and climbing stairs. Able to lift heavy boxes and packages while sorting and delivering the mail.
  • Ability to train, supervise and plan the work schedule of one student assistant.

SUPERVISION RECEIVED

Reports to the New Testament, Old Testament, Theology Department Chairs, and Program Director of Classical Theology.

SUPERVISION OVER OTHERS

Provides supervision to one student employee.
