The Academic Advisor II will be responsible for College graduate student document processing and records management for the SVMBS Research & Graduate Studies Office; and is responsible for graduate student advising, graduate student document processing, student records and database management, and school tuition and fees payments and waivers. The selected candidate will subscribe to and support our commitment to Inclusion, Diversity, Equity and Accountability as stated above. Required Education and Experience:

  • Bachelors degree or equivalent combination of education and experience

  • Two years of experience in advising, recruiting, teaching, coaching, Student Affairs or other related area

Required Knowledge, Skills, and Abilities:

  • Working knowledge of spreadsheet, presentation and word processing software programs

  • Interpersonal and communication skills and ability to plan and organize effectively

  • Ability to multi-task and work cooperatively with others

Preferred Experience:

  • Experience working with Graduate Students

  • Experience working as an Academic Advisor

Preferred Licenses and Certifications:

  • Certified Administrative Professional

Responsibilities:

  • Graduate Advising - Acts as graduate student advisor to assist all graduate students with completing university degree requirements through mentoring, inquiry response, and other support. Annually meets with PhD students and MS-thesis students. During the meeting the Academic Advisor II will initiate the Annual Evaluation process that is completed by the student’s graduate advisory committee.

  • Records and Database Management - Maintain all graduate student files in Laserfiche. Maintain SOPs for the SVMBS Research & Graduate Studies office as well.  Maintains the BIMS PhD and MS-thesis student database and each student’s timeline to degree documents.  Oversees the utilization of Interfolio for the Doctoral Student Profile system wherein the annual evaluations are completed. 

  • Graduate Student Processing - Process all college graduate student documents that are required by the Graduate and Professional School. During processing all documents are evaluated for eligibility and corrections are made as necessary. This process requires adding/dropping classes on behalf of the student. Creates a degree plan with the student, making recommendations. Monitors and verifies completion of all degree requirements.

  • Tuition and Fees - Process all graduate student out-of-state tuition waivers and tuition and fee payments in COMPASS for all the graduate students in SVMBS. Perform other duties as assigned.
