Project Support Officer (Timetabling)

This is a 1 year project of timetabling service enhancement and to support this we are seeking to appoint a Project Support Officer.
Led by the Academic Registrar the overarching objectives of the portfolio are to lead and steer change by:
Working in partnership with students and staff in shaping and delivering the project
Increasing capacity in Schools where possible to ensure sustainable and meaningful engagement with the projects
Focusing on supporting change in assessment practice
Ensuring that sponsorship, support and champions are actively promoting the portfolio within the academic community and other key stakeholder groups.
Working in support of Business Leads and Academic Partners, the Project Support Officer will be responsible for the successful planning, scheduling, monitoring and control, and closure of specific projects within the Portfolio,
The assignment may vary over time, and the role holder may be required to support other allocated projects should the need arise.
This post is full time and fixed term until 30 May 2025.
Salary: £32,332 - £34,980 per annum (Grade 5)

Job Description
Job Purpose
Support the University within the Timetabling Service Project, carrying out supporting work, providing advice, guidance and support, and leading projects within this area.
Key Duties
1. Provide comprehensive professional project support to the Timetabling Service, providing support, advice and guidance to ensure the programme delivers its objectives on time.
2. Provide professional advice and guidance on programme and project management processes and procedures to internal and external customers, using judgement and creativity to suggest the most appropriate course of action where appropriate, and ensuring complex and conceptual issues are understood
3. Investigate and analyse specific issues within the Timetabling Service Project, creating recommendation reports, supported by advances within project management and the higher education sector.
4. Ensure that the provision of the Timetabling Service Project is delivered to the institution, proactively changing the delivery according to customer/stakeholder requirements
5. Collaborate with the Programme Team and wider support communities to make recommendations for developments to established processes and procedures
6. Establish working relationships with key contacts, developing appropriate communication links with the University’s Schools/Directorates and outside bodies as required
7. Create specific working groups from colleagues across the University to achieve the objectives of the Timetabling Service Project.
8. Supervise specific project teams on an occasional basis to accomplish key objectives
9. Develop and deliver training as part of the Timetabling Service Project.
10. Undertake a variety of administrative duties to support the team
11. Instruct and guide other employees across the University on new developments and technologies being rolled out as part of the Timetabling Service Project as required.

Person Specification
Essential Criteria
Qualifications and Education
Degree/NVQ 4 or equivalent Professional membership/experience
Knowledge, Skills and Experience
Demonstrable experience of working within a programme/project support role
Able to demonstrate professional knowledge of project or change management to give advice and guidance to internal and external customers
Ability to set up standard office systems and procedures and make improvements as appropriate
Customer Service, Communication and Team Working
Ability to communicate conceptually detailed and complex information effectively and professionally with a wide range of people
Evidence of ability to explore customers’ needs and adapt the service accordingly to ensure a quality service is delivered
Planning, Analysis and Problem solving
Evidence of ability to solve expansive problems using initiative and creativity; identifying and proposing practical solutions and resolving problems with range of potential outcomes
Evidence of demonstrable knowledge of key advances within specialist discipline
Evidence of ability to work unsupervised to deadlines, planning and setting priorities for own work and that of others and monitoring progress.

Postgraduate/Professional qualification
Experience of working in a Higher Education environment
Fluency in Welsh, written and oral
