Join our HR Service Centre team for the opportunity to make a positive contribution to Cardiff University's ambition to be among the top 100 universities in the world and top 20 in the UK.

The HR Service Centre is the University's central transactional hub that ensures that all contractual and Payroll processes are undertaken to support the front-line delivery of world class teaching and research.

With a strong grounding and experience of working with HR administrative processes and systems and being able to link these with payroll, you will play a proactive role in delivering our high volume service. You will use initiative to take decisions, ensuring that both routine and ad hoc deadlines are met. Actively supporting continuous improvement within the Centre, you will help us to deliver a high quality service, valued by our customers.

This is a full time post, fixed term for 18 months.

Salary: £26,444 - £29,605 per annum (Grade 4)

This role is eligible to be offered on a blended working basis, meaning that as well as spending time working on campus you can also choose to spend some time working from another location, e.g. your home. Job Description

  • Provide detailed advice and guidance on HR administrative processes and procedures to internal and external customers, using judgement and creativity to suggest the most appropriate course of action where appropriate
  • Undertake a variety of HR administrative duties to support the team and department, specifically relating to all recruitment, contractual and payroll processes, ensuring that relevant systems are maintained
  • Establish working relationships with key contacts to help improve service levels, developing appropriate communication links with the University’s Schools/Directorates and outside bodies as required
  • Actively support the delivery of an efficient and professional service with the aim of achieving a right first time resolution at every customer interaction
  • Collaborate with others in order to make recommendations for developments of established processes and procedures
  • Make a positive contribution to the performance of the overall team, working to agreed procedures and standards, and supporting continuous improvement
  • Gather and analyse data to inform decisions, establishing basic trends and patterns in data and creating reports as appropriate
  • Instruct and guide other employees across the University in relation to HR administrative procedures and associated policies
  • Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties
  • Abide by University policies on Health and Safety and Equality and Diversity
  • Perform other duties occasionally which are not included above, but which will be consistent with the role

Person Specification

Essential Criteria

  • Substantial experience of working in a fast paced / high volume administrative role, with a high level of attention to detail and accuracy in work produced
  • Specialist knowledge of HR administrative processes and legal requirements, specifically in relation to recruitment and contractual matters
  • Ability to set up standard office systems and procedures and make improvements as appropriate
  • Strong IT skills, particularly Word, Excel and e-mail, and experience of using HR/Payroll systems
  • Ability to communicate specialist and complex information effectively and professionally to a range of customers with varying levels of understanding
  • Evidence of ability to explore customers’ needs and adapt the service accordingly to ensure a quality service is delivered.
  • Evidence of ability to solve problems using initiative and creativity; identify and propose practical solutions and to resolve problems where there are a range of potential options available
  • Evidence of ability to analyse processes and procedures, and advise on improvements
  • Evidence of ability to work unsupervised to deadlines, planning and setting priorities for own work
  • NVQ 3 / A-Levels or equivalent
  • Desirable Criteria
  • Fluency in Welsh, written and oral
  • Degree or an equivalent qualification or equivalent work related experience
  • CIPD membership, or working towards
  • Experience of working in a Higher Education environment
  • Knowledge and/or experience of undertaking payroll processes
  • Experience of e-recruitment / call management systems
  • Knowledge/understanding of the requirements of the Data Protection Act
