Job Purpose:

Employee Services Specialist is responsible to perform various HR Services related operations, activities including but not limited to maintaining employee records, leave management, end of service benefits, business cards, and handling employee grievances and similar matters, to support the Employee Services team in carrying out the day to day services to university employees.

Key Roles & Responsibilities:

  • Assist in the day to day operation of the HR Employee Services office, including all HR System Data entry.
  • Attend employees request related to the provision of letters, includes the preparation of such letters to various entities in accordance with the agreed time scales to avoid accumulation of requests and to prevent undesirable mistakes.
  • Prepare employment contracts for the new employees and coordinates pre-arrival communication with them.
  • Coordinate with the Govt. Relations team on the new employees visa and onboarding process;
  • Coordinate with the Academic and other teams on the campus for the new employees orientation.
  • Assist with the smooth induction of new joining staff.
  • Communicate details of new employees to appropriate colleagues to ensure facilities and equipment are readily available upon commencement of employment.
  • Ensure new employees receive Induction Packs and associated information on their first day of employment.
  • Make necessary arrangements for new employees to attend orientation training
  • Coordinate with payroll team on new employee’s information related to creation of their files in the system, entering employee’s personal information including other employment information to ensure that all new employees’ information are entered in the system in order to facilitate the preparation of payroll.
  • Create management information report from HRMS and other enterprise system, includes creation and update of employees files on the system.
  • Prepare and processes periodical contract renewals for existing KU employees;
  • Translate documents within the HR function in both Arabic and English languages and vice versa ensuring that accurate meanings are reflected also assist in the day to day operation of the HR office.
  • Adhere to the University's information security and confidentiality policies and procedures, and report breaches or other security risks accordingly
  • Coordinate with other departments to facilitate the accomplishment of tasks and responsibilities, as and when needed.
  • Perform any other tasks assigned by the Line Manager.

Qualifications  

Qualifications & Experience Required Qualifications:

  • Bachelor’s degree in business administration or any other related field. 

Required Experience:

  • Expats: A minimum of 5 years of relevant experience
  • UAE Nationals: (0) Experience requirement with good potential to perform assigned duties.
