Deputy Head of Exams and Teaching Timetabling

This is a management role based in the Registry Operations department within Academic and Student Support Services. The role-holder will deputise for the Head of the service providing management and leadership across the department.  You will oversee and lead the team to deliver the University timetables for both exams and teaching, University exams and service objectives.

The Deputy Head role is a pivotal role in Registry Operations, supporting key processes in the Exams and Teaching Timetabling Team. This role oversees high volume, technical and at times complex processes.

We are looking for someone who is resilient, adaptable, motivated, open minded and collaborative with experience of managing a team, delivering end-to-end processes, developing a service, engaging with stakeholders, and managing change.

Job Description

Key Duties

  • Manage and lead the Exams and Teaching Timetabling Team, ensuring departmental objectives are communicated and engaged with, planning, organising and delegating work, monitoring progress and intervening as required
  • Contribute to the long term strategic planning and management of the department, interpreting school/directorate strategy into work priorities and setting the standards for the section
  • Contribute to the development of department initiatives that have a University wide impact
  • Manage performance, induction and development of the section
  • Support and guide team members in welfare issues, escalating as necessary to specialist support areas
  • Ensure the delivery of the sections’ service level agreements, adapting these according to changes in workload and customer requirements
  • Collaborate with others in order to develop processes and procedures used within the sector and department
  • Undertake the training of others in areas relating to the teams work
  • Undergo personal and professional development that is appropriate to and which will enhance performance
  • Establish working relationships with key contacts to help improve service levels, developing appropriate communication links with the University’s Schools/Directorates and outside bodies as required
  • Gather and analyse data to inform decisions, establishing basic trends and patterns in data and creating reports as appropriate

Person Specification

Essential Criteria
Qualifications and Education

  • Degree/NVQ 4 or equivalent Professional membership/experience
  • Knowledge, Skills and Experience
  • Substantial experience of managing a section consisting of one or more teams
  • Specialist knowledge of appropriate administrative systems and processes
  • Ability to set up develop office systems and procedures
  • Customer Service, Communication and Team Working
  • Ability to communicate detailed and complex information effectively and professionally with a wide range of people
  • Experience of managing several teams, balancing multiple objectives and priorities
  • Experience of dealing with performance and welfare issues
  • Evidence of ability to explore customers’ needs and adapt the service accordingly to ensure a quality service is delivered
  • Planning, Analysis and Problem solving
  • Proven experience in dealing with diverse and challenging problems, including researching issues and creating new solutions where no prior precedent exists
  • Evidence of ability to plan the work of a section over year plus time scales, reacting to changes in workload and strategic direction of the department
  • Desirable Criteria
  • Postgraduate/Professional qualification
  • Experience of working in a Higher Education environment
  • Fluency in Welsh, written and oral
