Working within the Admissions team you will be responsible for provision of a professional admissions service under the guidance of the Admissions Operations Manager to ensure an end-to-end admissions process from enquirer to entrant.

This role will require a positive, proactive leader who is also an effective team member. To ensure provision of excellent administrative and customer service support, through the accurate and timely completion of a range of routine administration tasks to meet operational and customer service requirements. This includes ensuring efficient and streamlined application processing (including applying set admissions criteria) and customer focused enquiry management.

You will be responsible for managing relationships with a number of Academic Schools and will liaise with College and Professional Service teams as required.

This is a full-time post, fixed term until 31 May 2025. 

Salary: £32,332 – £34,980 per annum (Grade 5)

Qualifications and Education

  • NVQ 3/A-Levels or equivalent professional experience
  • Knowledge, Skills and Experience
  • Substantial experience of supervising a team.
  • Experience of using common office IT packages (e.g., MS Office)
  • Substantial experience of working in an administrative role with proven organisational and administrative skills including workload allocation, planning, and prioritisation.
  • Customer Service, Communication and Team Working
  • Ability to communicate detailed and complex information effectively and professionally with a wide range of people.
  • Excellent attention to detail with ability to clearly record information to pass on to others in an instructional manner, explaining required standards.
  • Ability to work as an effective team member as well as a Team Leader, demonstrating key behaviours of working flexibly and calmly under pressure to meet key deadlines, and accurately following and applying agreed policies and procedures.
  • Planning, Analysis and Problem Solving
  • Evidence of ability to solve expansive problems using initiative and creativity, identifying, and proposing practical solutions and resolving problems with range of potential outcomes.

    Specific Duties (continued):

    • To work flexibly to meet workload demands including working within different areas of admissions (and on occasion within other services/departments) to provide wider support and guidance.
    • To ensure the provision of support for University open days, information giving and promotional events where the admissions team is represented (such as handling enquiries on an admissions stand or staffing a telephone helpline/chat facility). This includes ensuring staffing, line management, and provision of appropriate guidance and information (including any set-up and logistic requirements such as the provision of equipment and materials).
    • To support confirmation, clearing and adjustment, taking responsibility for roles and tasks allocated by the Admissions Management Team to ensure the success of the event.
    • To support enrolment as required, working with colleagues in Registry/Student Operations to ensure provision of student clearance/documentation checks, allowing applicants to register at the University.
    • To deputise for the Admissions Operations Manager and other Team Leaders as required
    General Duties
    • Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties.
    • Ensure compliance with legal and regulatory requirements in respect of equality and diversity, data protection, copyright and licensing, security, financial and other University policies, procedures and codes as appropriate.

    The Admissions Department is responsible for the provision and administration of the University’s recruitment process and policies related to admissions. This includes the provision of application processes, decision communication and maintenance of admissions process systems.

    Admissions plays an essential role in maintaining the reputation of the University through effective communication to the public and to external and internal stakeholders. The Admissions team has a customer focused approach and the team represents the University on a corporate level and involves all three academic colleges and constituent schools.

    The Admissions department are responsible for key links with external bodies such as UCAS and the Russell Group and aim to influence admissions practices not only at a local but at a national level. The Cardiff University Admissions department works on an evolutionary basis, working flexibly to meet service needs and demands and is committed to providing a world leading applicant experience.

    Due to the nature of admissions work there will be key points in the year where leave will be restricted, extended opening hours will be operation and occasional weekend working will be required. This will be primarily around confirmation and clearing in August (but not exclusive to) and overtime will be required during these periods.
