Project background

ETH Zurich | Space with its new director Thomas Zurbuchen fosters and supports space related activities within ETH Zurich, but also with external partners (such as industry, other academic institutions, and agencies). ESA BIC Switzerland  is organizationally part of ETH Zurich I Space.

Nanja Strecker leads ESA BIC Switzerland and is one of the leaders of ETH Zurich I Space. In her extended role and responsibility, she is looking for a part-time assistant for her and the growing team. The position is initially limited to one year, with the possibility of renewal. Starting date asap.


Job description

You will be a personal and team assistant to support Nanja and her team in their daily business.

Concretely your tasks will include:

  • Agenda & travel management: particularly for Nanja you manage her agenda, schedule meetings, arrange travels, accommodation, restaurants, etc.
  • Visits & meetings: for ETH Zurich I Space you organize, coordinate and prepare visits of and meetings with company delegations, national delegations, investors, etc., incl. room reservation, catering, mgmt. of internal stakeholders, etc.
  • HR: ETH Zurich I Space is intended to evolve and grow significantly. Together with the assistants of other ETH Zurich I Space leaders, you organize interviews, interact with candidates, prepare interviews, etc. You might also carry out work relating to admissions and departures (IT infrastructure, phone, desk., etc.), incl. the administration of personnel entries, hourly wages, and data in SAP-ETHIS
  • Finances: you process travel and business expenses, credit card statements, and pay invoices for the ETH Zurich I Space and ESA BIC CH team. Further responsibilities as to finance/accounting might be added
  • Stakeholder communication & management: you interact and communicate comfortably with all kinds of stakeholders of ETH Zurich I Space, internally (VPWW leadership, ETH board, professors/researchers, students, etc.) and externally (companies, investors, other universities, associations, etc.), and manage these contacts in a corresponding CRM

Your profile
  • Personal and team assistance, with several years of experience, in the academic or industrial environment, of an international organization or start-up company
  • Professional training degree, e.g. commercial qualification, or academic degree
  • Comfortable in a dynamic, changing, and growing team
  • You work independently, think on your own feet, are pro-active, flexible, open-minded and solution-oriented
  • You enjoy working in an international environment and are ideally already familiar with a university environment
  • You enjoy interacting with people with diverse backgrounds
  • Some experience in organizing visits of delegations & co. is beneficial
  • Very good knowledge of German (preferably mother tongue) and English and reading comprehension in French
  • Confident use of MS Office is required
