Your mission :

As Event Manager, your main mission is to organize the Applied Machine Learning Days (AMLD) and ensure that they run successfully. You will report directly to the EPFL School of Computer and Communication Sciences’(IC) head of communication, and work in close collaboration with EPFL Professors, central services & 50+ external organizers. You will oversee the AMLD team and overall operations.

The AMLD is a brand that is marketed over several media channels and hosts large-scale scientific events with 2k+ unique attendees, 300+ speakers & sessions. It’s one of the largest Machine Learning & AI events in Europe and an important landmark event for EPFL.


Main duties and responsibilities include :
  • Organize the Applied Machine Learning Days and coordinate the team composed of 2 part-time event assistants
  • Determine the objectives and strategic approach of the event in coordination with the AMLD steering committee made of representatives from the IC Dean’s office, IC professors and Mediacom
  • Elaborate the program and content of the event
  • Manage the logistics, overall branding, marketing and advertising
  • Manage partnerships, fundraising and sponsors
  • Coordinate staff and service providers
  • Manage budgeting, invoicing and accounting
  • Coordinate and liaise with the IC head of communication and EPFL professors
  • Assess event’s overall success and submit a yearly report to the steering committee

Your profile :
  • Experience in organizing similar sized events, preferably for scientific topics
  • Bachelor’s or master’s degree in communications/hospitality management
  • Any other Communication or Events management related certification is an asset
  • Capability to work in English and French, both written and spoken, is mandatory
  • Experience in budget and team management
  • Experience in matrix organizations with both line and functional reporting
  • Well-organized with excellent multi-tasking abilities and problem-solving skills
  • Creative, efficient, highly motivated, self-driven, self-organized, and comfortable in fast pace and evolving environments
  • Strong communication and excellent interpersonal skills with an ability to manage various stakeholders and motivate a wide range of people
  • A desire to work with top researchers and contribute to the future growth of one of EPFL’s major events
