Senior Executive, Student Life (Operations) - 1-year contract

The role is responsible for administering operational functions across the Student Life Division. The role will also support key student development initiatives in SIT. The role requires the individual to perform daily operations of the division, which includes project management, student relationship development and partnership management. The position contributes to the creation of a vibrant student life and university campus. The Senior Executive reports to the Team Lead, Operations Team and supports the Director of Student Life Division.


Key Responsibilities
  • Carry out administrative functions which include procurement, record management, preparing of reports and coordination of meetings.
  • Manage Student Life office email account and phone line with prompt response.
  • Handling of applications for the Laptop Support Scheme.
  • Overseeing assets and inventories, and administering equipment loan.
  • Processing and submitting of student claims, including tracking of student claims records.
  • Prepare and send out weekly email announcement to students on upcoming events, announcements and opportunities. Including updating of publicity materials on Digital Displays and Student Intranet.
  • Coordinate with various internal stakeholders to update Student Life content on SIT corporate website and the Student Intranet.
  • Assist in the administrative matters of Student Associates and Shuttle Bus Crew, e.g. hiring, work scheduling and assigning of work tasks.
  • Assist in the managing of Student Medical Insurance, liaise with broker on insurance matters including generating of monthly claim statistics and procurement.
  • Contribute and assist in the strategic planning and review of the division’s work plans, resource allocation and team development.
  • Support Student Life Division’s key events and initiatives.
  • Ad hoc projects as assigned by Director of Student Life.

Job Requirements
  • A tertiary qualification in any discipline.
  • At least 2 to 3 years of relevant experience in a similar position would be an advantage.
  • Good communication (verbal and written) and interpersonal skills, to connect with various stakeholders.
  • Proficient in MS Office, particularly in Microsoft Excel and PowerPoint.
  • Knowledgeable in website (e.g. SharePoint) content design and management will be an advantage.
  • Passionate, positive attitude with the ability to be innovative and think out of the box.
  • Adaptable, able to multitask and work independently within tight timelines.
  • Committed team player, responsible, reliable and able to work with others to achieve division mission.
  • Strong organizational and coordinating capabilities with excellent administrative skills
  • Ability and willingness to work outside of office hours and on weekends to support key events (when necessary).

The successful candidate will be offered a 1-year contract with a view to renewal.
