Senior Assistant Manager, Registrar’s Office

The Registrar’s Office, within the Student and Academic Services Department (SASD), requires an independent and experienced Senior Assistant Manager to support the Team Lead, Ceremonial Events Unit in the planning and organisation of the University’s ceremonial events, which include the NTU on-campus Convocation, NTU Convocation in China, and other related University events.

Responsibilities

  • Review of Policy and Procedures on Ceremonial Events
     

  • Planning and Organisation of NTU on-campus Convocation
    Oversee the planning and organisation of NTU on-campus Convocation, which includes:
    - coordination with schools and stakeholders on the formation of academic procession;
    - supporting the nomination and selection of Koh Boon Hwee Scholars Awards, Lee Hsien Loong Outstanding Achievements Award, and Honorary Degree recipients;
    - supporting the planning and execution of PhD Hooding ceremony (if applicable);
    - management of stage proceedings;
    - all logistical arrangements (including the purchase of new gowns for new appointment holders and maintenance of existing gowns) for the smooth execution of Convocation ceremonies, and
    - manpower planning and deployment.
     

  • Supporting NTU Convocation in China
    The support include:
    - coordination with stakeholders on the formation of academic procession, and arrangement of transport (flights and local transfers), accommodation and other logistical arrangements for academic procession;
    - planning and execution of seating plans and registration; and
    - all logistical arrangements for the smooth execution of Convocation ceremonies.
     

  • Other Duties
    - Manage NTU Convocation website;
    - Update intranet webpages for Registrar’s Office;
    - Coordinate the annual document disposal exercise;
    - Collaborate with CITS to conduct regular reviews and explore better technological solutions for ceremonial events.  


Requirements

  • University degree with minimum 5 years of work experience.

  • Proficient in Microsoft Office applications (EXCEL, WORD and POWERPOINT), PDF and the use of IT towards operational productivity.

  • Proficient in using virtual conferencing platforms (Zoom/MS Teams) preferred. 

  • Track record in working with people from diverse background and levels.

  • Meticulous and good with data.

  • Self-motivated and takes initiative.

  • Resourceful.

  • Critical thinker and problem solver.

  • Excellent verbal and written communication skills.

  • Ability to multi-task, prioritize and meet tight deadlines.

  • Ability to work independently and in a team environment. 

  • Experience with events management in Institute of Higher Learning would be advantageous.
