Job Description

To provide overall secretarial, administrative and logistical assistances to the department. 

As a secretariat to the CRO, you will provide secretariat support to him. You will also act as an Office Manager for the department and be the point of contact for all employees. For this role, you will work closely with internal and external stakeholders to ensure an effective secretariat support and smooth operations in the office.

Secretarial Support to CRO

  • Manage Chief Risk Officer's & Acting Chief Risk Officer's calendars
  • Schedule meetings and appointments as assigned by CROs and Unit Head
  • Claims Assistant for CROs, overseeing Travel Request and Expense Reports
  • Coordination of meetings with stakeholders, senior management and ExCO members
  • Other ad-hoc duties as assigned

 

Administrative and Logistical Departmental Matters

  • Procurement of office supplies e.g. IT equipment, stationeries and corporate gifts
  • Raise POs and process invoices for payments such as for monthly printers' meter reading and usage, pantry supplies, stationeries, phone bills and other services. Perform Goods Receipts in Sesami for procurement requests.
  • Management of department fixed assets and annual fixed assets listings in SAP, staff buy-back scheme, transfer/condemnation of fixed assets.
  • Provide support for staff onboarding and off-boarding processes including issuance of laptop and setup and liaison with other departments.
  • Update and maintain office directories and system access e.g. Campus Directory and staff card access
  • Maintain department email account
  • Store, organize and manage unit documents and files as part of knowledge management in the unit and department Team channels

 

Marketing Communication & Projects Support

  • Provide support for assigned projects, communication and outreach e.g. organising of department events and/or activities such as booking of venues, coordinating of filming schedule and liaising with speakers
  • Support the updating of department websites (internal and external) and social media accounts
  • Provide Google Analytics analysis for department website
  • Send email circulars/blasts/invitations to internal and external stakeholders and/or NUS Secretary list

 


Qualifications
  • Bachelor's degree or Diploma holder with more than 5 years of office administration experience may apply
  • Proven experience in managing of business operations in an office environment
  • Proficiency in all Microsoft Office applications
  • Former office manager and secretary may apply
  • Good interpersonal and communication skills
  • Self-motivated and driven / Good team player with demonstrated ability to work independently
  • Meticulous, mature and highly organised
  • Strong communication skills
