The University Counselling Services (UCS) (Health and Wellbeing, Office of the President) is responsible for the innovation, implementation and evaluation of health & wellbeing programmes which support the general student population in NUS, as well as specific students whom are exposed to acute mentally-stressful events.

The primary responsibility for your role as the Operations Officer is to manage daily administrative tasks, including responding to incoming emails and appointment requests, as well as providing front desk support by receiving scheduled clients and walk-in clients, and answering phone calls. You possess exceptional organisational skills, proficiency in office management software, and a commitment to maintaining the highest level of integrity and confidentiality.


Responsibilities
  • Respond promptly and professionally to incoming emails and appointment requests from students, faculty, and staff.
  • Manage the reception area, greeting and directing scheduled clients and walk-in clients with a friendly and professional demeanour.
  • Answer phone calls promptly and courteously, providing assistance when possible or routing them to the appropriate department or unit as needed.
  • Maintain appointment schedules, ensuring efficient allocation of resources and timely communication with clients.
  • Assist in maintaining accurate records and databases related to client appointments, services provided, and other administrative tasks.
  • Collaborate with other team members to ensure smooth operations and excellent customer service.
  • Perform general administrative tasks such as filing, copying, and data entry as needed.
  • Uphold the highest level of integrity and confidentiality in handling sensitive information.

Qualifications
  • Minimum Diploma in Business Administration, Business Management, or Hospitality Management.
  • Minimum of 3 years of experience in a similar administrative role.
  • Solid knowledge of office procedures and office management software, particularly Microsoft Office (Excel, Outlook, Teams).
  • Strong organisational skills with a problem-solving attitude.
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy in all tasks.
  • Ability to work independently as a self-motivated individual, as well as collaboratively as a team player.
