The Novo Nordisk Foundation Center for Biosustainability (CfB) at the Technical University of Denmark (DTU) is looking for a Project Advisor. The Project Advisor will provide support to the Project Leaders in managing externally funded projects, help junior scientific staff with grant applications and will also ensure development and implementation of lean administrative processes and procedures.

The Project Advisor is organizationally associated to the Project Office.

The job
You will provide coordinative and administrative support to the projects and play a role in the Center’s consolidation and reporting of research results, including the formulation of periodic reports for internal use. Therefore, you will in your daily work have contacts to a wide range of stakeholders involved in the project, including researchers, project managers, administration entities and funding agencies; both local and international.

A part of the job is to support management of larger projects with organization of meetings, minutes of meetings, distribution of consortium information and management of homepages. Collection and consolidation of progress reports from project partners, planning and organization of various projects is an important part of the activities. The reporting also extends to use reporting systems, especially at the grant authorities web pages and DTU systems.

The job includes pre-grant support, especially to postdocs and young researchers, to increase their success and plan their effort. The position will furthermore include management information and particularly reporting to stakeholders. 

You will be a key person in the project activities concerning:

  • Follow up and management of grant (international and national grants). This also includes reading grant guidance independently, to understand specific reporting requirements, and budget controlling, meeting organisation, follow up on progress and registration. You will interface with DTU’s finance centre and the HR department. You will be managing data concerning externally funded projects on DTU platforms and on grant authorities’ platforms. And you will support the researchers with administrative tasks.
  • You will in collaboration with the research staff ensure timely reporting, and registration of costs and effort, submission of relevant reports (also the DTU report schedules), documentation and repository actions and other group activities. And ensure the submission to grant authorities.
  • You will be active in supporting the Center’s fundraising effort, and in collection, analysis, presentation, and reporting data for impact factor assessment purposes activities for reporting. You will oversee the development of the quaternarily internal reports.
  • You will interact directly with Postdoctoral fellows and young Researchers and give support in grant writing, including how to better present the project as well as to adapt it to the call’s requirements and focus. Including financial viability checks.
  • You will promote a method to assess all submitted grants for their sustainability, as defined by SDG and TRL, and ensure assessment in collaboration with the researchers. This includes collecting the issuing data, analyse it and report it for further use by the Center’s administration and by the Sustainability Office.
  • General administrative support of the centers group leaders, such as administrative tasks related to expense reports
  • You will be reporting the Center effort to shareholders, that include DTU annual reporting schedules, reporting to NNF and supporting management information at the center.

Our expectations of you
A successful candidate will:

  • Have good communication skills. Strong written and spoken English, experience with communication and reporting in English
  • Danish understanding and writing
  • Have abilities to manage international projects
  • Be a team player and help where it is needed to ensure a well-functioning project administration
  • Have a well-structured work style and be capable of managing several concurrent activities
  • Enjoy working independently, however with focus on the common targets
  • Be able to understand complex guidelines and develop administrative systems and processes, that satisfy such regulations
  • Be able to work with a wide range of stakeholders of diverse backgrounds

Knowledge of DTU’s reporting systems is an advantage but not a must. The expected educational level is master’s degree or above.

Salary and appointment terms
The appointment will be based on the collective agreement with the Confederation of Professional Associations (AC). The allowance will be agreed on with the relevant union.
