Position 

Working under the direction of the Faculty General Manager (FGM), ensures all the Faculty’s administrative operational processes, practices and systems adhere to and are consistent with the University’s administration policies and are coordinated throughout the faculty. Works collaboratively with the Faculty’s assigned service partners to ensure the efficient management and timely delivery of quality administrative services to the Faculty. In concert with the Faculty’s assigned Service Partners sees to the seamless delivery of services to departments and units across the Faculty.

Duties 

Management (Operations/ Program/Service)   

  • Under the direction of the Faculty General Manager, oversees the overall administrative management of the Faculty’s general office, Dean’s office, academic departments and units. Position manages the team that provides administrative executive support to the Dean,Vice-Dean, Associate Deans and/or Faculty General Manager, as well as faculty services, facilities management, safety & risk management,  governance, event support, and research coordination and research IT while ensuring the effective day to day functioning of the Office of the Dean.
  • Collaboratively works with and guides the Academic Department Managers within the Faculty to ensure consistent and efficient faculty administrative processes.
  • Oversees administrative processes relating to FEC and ATSEC.
  • Develops and implements administrative processes within the Faculty to ensure consistent and effective administrative support.
  • Leads planning for assigned areas and assists the Faculty General Manager in developing and implementing the overall strategic plan.
  • Works with the various embedded service partners to deliver support across the Faculty.  

Strategic Resource   

  • Provides high-level support and operational advice to the Faculty General Manager, Dean, the Dean’s Senior Leadership Team and other committees, and proactively manages and resolves issues. 
  • Advises Academic Department Managers and other senior administrative leaders on navigating operational/ administrative issues.
  • Contributes professional and managerial expertise to the development of plans, objectives, solutions, policies and procedures.
  • Leads the implementation of Faculty initiatives and contributes to projects that have Faculty-wide impacts, leveraging project and change management skills.
  • Contributes to and participates in Faculty-led committees, meetings, taskforce groups and/or ad-hoc committees.  

Talent Manager/Coach and Relationship Manager   

  • Identifies, acquires, manages and supports collective and individual talent. Proactively identifies and plans for future talent needs.
  • Works towards establishing a diverse workforce reflective of the broader community by identifying and working to remove barriers to access.
  • Facilitates skill development by providing clear, detailed performance feedback in a manner that builds confidence and maintains self-esteem.
  • Recognizes and remediates barriers to advancement faced by members of equity deserving groups.
  • Pro-actively establishes and maintains extensive networks with the Faculty General Manager, Dean, Vice-Dean and the Associate Deans in the Faculty Office, Academic Department Managers and other leadership across the faculty, to build and sustain high- level relationships, and to facilitate cooperation and deliver meaningful results which contribute to the attainment of strategic objectives. Works collegially with other managers and staff. 

Minimum Qualifications

  • Bachelor’s Degree in Commerce/Business, Engineering, Science or a related field.
  • A minimum of 5 years supervisory experience in a complex team environment.
  • Other required experience includes strategic planning and business continuity planning; administration in a large unionized organization; and decision-making in an Academic or public sector environment.

Preferred Qualifications

  • An advanced degree is an asset. Progressive experience of 6 to 10 years in a related area is preferred.
  • High level of analytical and problem-solving skills and critical-thinking skills.
  • Demonstrated use of systems and tools such as Excel, database query tools (Tableau), and PeopleSoft (Finance, HCM, Campus Solutions) would be an asset.
  • Excellent written and oral communication skills.
  • Planning, organizational, and time management skills.
  • Ability to work independently.
  • Proven ability to work collaboratively with team members from different areas of expertise, and with senior administrators in an organization.
  • Extensive knowledge of University of Alberta policies, procedures, and operating requirements.
  • Familiarity with university governance systems.
