Desautels Faculty of Management


Position Summary:
Under the direction of the immediate supervisor, the incumbent may perform some or all of the listed general administration functions. These functions are of high complexity and the incumbent performs them using general instruction. 

Under direction of the co-Director, Soutar Career Centre, the incumbent will be responsible for general administrative tasks and events support for the Masters Career Services. These tasks are of a high complexity and the incumbent performs them using general instruction.

Typical Functions:  
1. Organizes individuals as well as events such as meetings, new student orientation/onboarding, career workshops and specialized programming, Toronto Trip, and career fairs. 

2. Scheduling and booking of mock interviews

3. Acts as a liaison between the unit and internal or external parties to provide various assistance or information. Participate in the planning, scheduling, and execution of Marquee Group workshops.

4. Leads the collection of information and preparation of the student resume books and ensures that the website is updated accordingly.

5. Performs specific expense analysis via bookkeeping and expense claims.  Creates reports and assists with budget preparation. Reaches out to external agencies and venues for quotes, secures contracts, and processes payments.

6. Creates various other reports when needed.  Such as compiling data related to job postings, MBA newsletter, graduation statistics, etc.

7. Update and develop templates for efficient tracking between career coaches and corporate relations team. Continuous development (creation and improvement) of supporting documents.

8. Participate in the scheduling and organization of 2024-25 activities

9. Acts as a resource person to resolve various issues that may arise during planning, scheduling and events. 

10. Other miscellaneous tasks that support the Masters Careers team as required.


Other Qualifying Skills and/or Abilities:

High School Diploma with two years of relevant experience in the field of work.
Ability to work in computerized environment. Strong familiarity with Microsoft suite: Word, Excel, MS Teams, MS Forms, and Outlook. High attention to detail. Able to work individually and as part of a team.
