This position is situated in the Department of Electrical and Computer Engineering in the Faculty of Engineering. This is a full-time permanent position.

Position Summary:

Provision of high level confidential administrative support and human resources services to a unit, in accordance with University policies and procedures, and the unit's goals and objectives. This includes responsibility for the unit's personnel administration processes and co-ordination of a variety of human resources activities, including staffing, benefits administration, salary administration, labour relations and records management. It also includes provision of administrative support to University committees and liaison with other universities and organizations external to the University; and explanation to staff concerning University personnel policies and procedures.     
 

Primary Responsibilities:

  • Act as the main resource person within the Department for policies and procedures related to employee positions, salary payments, and stipends;
  • Collaborate closely with academics and administrative staff, particularly the Administrative Officer, to oversee all employee positions. This includes managing a diverse group, such as Postdoctoral Researchers, student research positions, visiting academics, and a high volume of sessional support positions (TAs, Graders, Invigilators, and Course Lecturers);
  • Coordinate and create job postings. Prepare LMIA-Exempt form submissions in the Employer Portal, enabling work permit applications for Postdocs, Visiting Professors/Scholars, and Graduate/Undergraduate Research Trainees;
  • Guide professors, administrative staff, and students in compliance with guidelines and restrictions;
  • Provide information on collective agreements (MCLIU, AGSEM, AMURE, AMUSE) and ensure their adherence, , the boundaries of unionized positions and any updates that occur. Requires in-depth knowledge of these collective agreements and works with academics to ensure that they are respected;
  • Address general immigration queries by guiding individuals to the appropriate resources, and escalate issues when necessary;
  • Work closely with the Department’s finance administrators to ensure sufficient funding for payments and appointments, adherence to funding agency guidelines in line with respective collective agreements. Efficiently coordinate all payroll activities to ensure accuracy and timeliness;
  • Liaise effectively with Faculty HR, Central HR, and specialists to resolve problems and handle complex cases
  • Maintain detailed personnel files and spreadsheets to ensure up-to-date records of payments, postings, positions, and offers of employment;
  • Guarantee the completeness of documentation in compliance with University and Faculty standards;
  • Submit and track all stipend (BSAC) payments, collaborating with Student Funding to ensure smooth processes.

Other Qualifying Skills and/or Abilities:

Seeking a smart, friendly and positive colleague with an interest in the University environment and mission. Experience dealing with human resource-related issues. Familiarity with student and academic positions and demonstrated experience interpreting collective agreements and University policies and procedures. Proficiency with Workday and previous experience is an asset. Demonstrated ability to thrive in a high-paced environment, effectively tracking and meeting multiple deadlines concurrently. Demonstrated ability to work in a computerized environment (Microsoft Office: Excel; Word; PowerPoint). Proven organizational skills, enabling efficient handling of multiple tasks and responsibilities. Must be detail oriented. Knowledge of databases and programs: Workday, Minerva, and BSAC. Strong verbal and written communication skills in English and French. Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
