Duties and Responsibilities:
Reporting to the Director, Advancement Services, the incumbent will work in the Gifts Administration team with the Advancement Services unit in the Department of University Advancement in support of Carleton University, its alumni and donors.
The Gifts Administration Assistant is responsible for: processing more than 12,000 gifts made by cheque, cash and credit card annually; preparing appropriate acknowledgment of those gifts; performing all data entry related to donations; overseeing the Corporate Matching Gift process; providing backup to the Gifts Administration Officer during annual leave and providing quality customer service to University Advancement constituents.
Qualifications:
The incumbent must possess the following qualifications:
• Substantial experience in the use of software applications including Microsoft Office as well as the Banner Advancement database
• Extensive office skills, good judgment and great customer service experience.
• Ability to work independently, multi-task and manage projects to strict deadlines enforced by the University and external bodies including the CRA and the Ministry of Training and Education.
• Accuracy and strict attention to detail are essential, in particular in adherence to proper cash handling policies and in data entry.
Education and Experience:
The above is normally acquired through the completion of:
• Post-secondary diploma or degree required, preferably with a business or accounting emphasis.
• Minimum of 3 years progressive related experience, preferably in fundraising and preferably in a post-secondary institution

Health and Safety Requirements
This position is regularly required to work on campus in person. In the event of a public health emergency or a health and safety issue, it is possible that you may be required to work temporarily remotely due to public health orders, directives and/or health and safety requirements. If this happens, you will work with your direct manager to set up a remote work environment including discussing appropriate technology and requirements. You are required to follow all University policies and directives, including to set up a safe and confidential workspace in a remote location and ensure all Carleton property (intellectual and other) is safeguarded. If required to work remotely, you will be notified by your manager when working full time physically onsite will resume.
