Working for the Department/Faculty 

External Relations is a team-oriented portfolio that works together to develop and execute the strategies and initiatives that will advance the University of Alberta’s reputation. The External Relations team leads and determines the strategy for both external and internal initiatives, and helps develop the reputation of, and pride in, the University. 

Position 

Reporting to the Chief of Staff, External Relations, this position provides key support to the successful operation of the External Relations Portfolio. Working as part of the Vice President’s Office, the General Administrator is responsible for core activities with respect to human resources, finance, security, communications, as well as meetings and events. Acting as a first point of contact for Portfolio staff, this role initiates transactions, communicates process and policies, and resolves issues.

Duties 

  • Initiates human resources (HR) and finance transactions, prepares and responds to correspondence regarding HR and finance inquiries, and coordinates related processes.  Maintains related records. 
  • Initiates purchase requisitions, purchase orders, invoices, and vendor payments. 
  • Provides guidance and assists users with the initiation of financial transactions.  Identifies, troubleshoots, and resolves transactional issues.  Corrects errors and escalates issues. 
  • Assists with the allocation of space and security.  Process and manages building access for External Relations staff. 
  • Creates and maintains spreadsheets and databases.  Prepares ad-hoc reports. 
  • Manages information requests and compiles submissions for Chief of Staff review. 
  • Provides administrative support for standing and special meetings.  Coordinates documents and agendas.  Anticipates and prepares supporting materials. 
  • In consultation with the Chief of Staff, prepares briefing materials for meetings and committees 

Minimum Qualifications


  • Two or three year diploma in business administration, accounting, human resources, or general administration. Equivalences may be considered.  
  • Two to three years of related experience. 
  • Excellent computer skills, including proficiency in the use of database, spreadsheet, and word processing software.
  • Demonstrated ability to develop and maintain positive, professional, and collaborative working relationships, including senior-level executives. 
  • Demonstrated ability to work independently and collaboratively. 
  • Demonstrated ability to apply and adhere to strict confidentiality guidelines, privacy legislation, records management protocols, and corporate policies. 
  • Demonstrated ability to work for a large unionized public sector or post-secondary academic organization. 

Preferred Qualifications 

  • Prior experience in an executive office preferred.
