This is a permanent position in the Dean's Office, Faculty of Engineering.

Position Summary:
Reporting to the Dean of Engineering, the Director of Administration provides leadership and expertise with respect to the Faculty's operations and advancing the development and implementation of the Faculty's strategic initiatives across 8 departments and schools, three institutes and a variety of research centres. The Faculty has approximately 160 professors and 140 administrative staff as well as a large number of contract staff with an overall operating budget of approximately $42 M and $46 M in combined research funding. The Director will manage the administrative activities of the Dean's office and reporting areas, with a focus on activities mainly related to finances, human resources, information technology, .pace and infrastructure, and communications. The Director also provides guidance to the Associate Deans, Chairs and Directors and ensures compliance of Faculty activities with University processes, policies and procedures. The Director participates in the establishment of the Faculty's strategic directions and oversees the implementation of short and long-term plans related to administrative services; analyzes trends in the Faculty, identifies resources required in support of its activities, and works in collaboration with the administrative leadership of the Faculty to secure and allocate appropriate resources. In addition, the Director will frequently be called upon by the Dean, as required, to represent the Faculty of Engineering at a senior level, both within the University as well as with external organizations.
Primary Responsibilities:

  • Provide leadership, professional guidance and advice to the Faculty of Engineering, including the Dean, Associate Deans, Chairs, Directors, Faculty members and Administrative Staff (unionized and non-unionized);
  • Evaluate overall effectiveness of procedures in the Faculty and its units and ensure compliance and consistency with best practices; lead harmonization and transparency across administrative and academic units. Ensure quality control and appropriate internal and external communication (including information to and from committees regarding decisions affecting units/operations);
  • Plan, develop and implement policies, processes and procedures to optimize administrative services in support of the Faculty in line with the University's overall mission of teaching and research;
  • Contribute to the Faculty's development in analyzing, developing and supporting organizational structures. Develop support with regard to financial, HR, IT and space allocation decisions for the departments, schools, institutes and centres by identifying weaknesses and opportunities in the administration of the units and by evaluating and advising on alternatives with respect to their organizational impact and cost;
  • Support analysis and development planning of the Faculty's growth and offerings in line with student enrolment (undergraduate and graduate programs) as well as corresponding changes and developments in policies and governmental regulations regarding finances, immigration, student associations, McGill central service units, University Advancement, staff members, the university's leadership overall, as well as with external entities working with the Faculty of Engineering;
  • Oversee the audit (and the follow up needed) of Faculty of Engineering accounts and support the accreditation process of Engineering Programs as needed;
  • Oversee Faculty public relations and recruitment activities; ensuring advice and policies in the use of social media, web activities for advertising and recruitment;
  • Oversee the development and implementation of new initiatives that support the strategic direction of the Faculty and as per direction from the Dean;
  • Keep abreast of new developments and trends in the University administration;
  • Represent the Faculty at internal and/or external meetings, initiatives and committees.


Other Qualifying Skills and/or Abilities:

Proven experience working in academic and business environments, ideally with demonstrated experience in change management projects and in the supervision of staff in a university setting. Strong managerial, leadership, active listening and communication skills (verbal and written), with a positive personality and a clear enjoyment of team success. Ability to communicate clearly, in a firm, encouraging and diplomatic manner, while remaining composed when under pressure. Ability to analyze complex issues and problem solve. Solid knowledge of and experience with budgeting and financial analysis. Demonstrated ability to lead, coach and motivate staff with advanced knowledge in their respective fields and to actively work with them to foster career development. Advanced ability to bring groups together, promote cross-collaboration, support fund raising activities. Proven experience acting as a change agent and champion within an organizational, multicultural setting. Priority-setting abilities, and proven ability to manage multiple projects with specific deadlines, setting clear objectives and implementing measures to achieve them. Proven experience working in a computerized environment using word-processing, databases, spreadsheets and presentation software. English fluent, French, spoken and written.
