About This Opportunity  

We are seeking a highly motivated, experienced and multi-talented Principal Project Officer to support and coordinate the delivery of various projects. You will be responsible for delivering a wide range of project-related activities across all phases of the project life-cycle, from initial scoping and planning through to post-project evaluation activities. You will be both managing small projects and assisting Project Managers on medium to large sized projects within a high-performing team within a multi-dimensional, fast-paced and challenging operational environment.

Duties and responsibilities include, but are not limited to:

Project Coordination Responsibilities

  • Under broad direction, coordinating aspects of the project life-cycle, including planning, monitoring, and evaluation activities as relevant to the project phase/s.

  • Developing and implementing project plans, including collating documents and records of relevant issues.

  • Ensuring compliance with agreed project methodologies and timeframe

  • Undertaking project-specific research, analysis and reporting activities to support informed project planning and decision making.

  • Controlling and managing project-related issues, risks, dependencies and/or changes to project plans and/or scope.

  • Evaluating project phases to ensure alignment with project plans and key deliverables.

  • Developing scope briefs for external consultants, which align with the project plans.

  • Utilising project management programs/applications/software. Ideally the applicant is familiar with developing basic to intermediate programs.

  • Other duties as requested by the Project Manager.

Project Administration and Communication

  • Developing project-related documentation and other materials including (but not limited to): Tender brief's, tender evaluation documentation; project plans; scoping documents; evaluation documents; project reporting templates; project updates and other communication materials; post-project reporting.

  • Supervising a range of project-relevant secretariat and administrative services, including committee meetings, project steering groups and stakeholder/client engagement activities.

  • Managing cost administration including detailed administration of accounting commitments, payment claim assessments, internal payment approvals, cost forecasting and assistance with budget development.

  • Developing project-relevant communication documentation, including communication plans and media content.

Stakeholder Engagement

  • Coordinating project-relevant engagement activities, events and education sessions.

  • Building effective relationships with project clients and stakeholders, including (but not limited to) UQ's leadership team, senior academic and professional staff; external consultants/contractors; project support staff; representatives of peak government and non-government bodies; industry partners; donors; alumni; project participants.

  • Support the Project Delivery section with preparation of meeting minutes, agenda’s, procurement briefs, requests for fee proposals, and reports..

  • Manage Purchase Order process and co-ordinate payment of invoices with UQ Central Finance. Manage Purchase Order Register and Invoice tracking spreadsheet.

  • Managing project documentation registers.

  • Project co-ordination with internal Property and Facility stakeholders, such as security, campus operations, traffic, and planning.

  • Co-ordinating access for contractors and consultants.

This is a Full-time, Continuing position.  At HEW Level 7, the full-time equivalent base salary will be in the range $96,649.64 - $105,244.58 plus super of up to 17%. The total FTE package will be in the range $113,080.07 – $123,136.15 per annum. 


About You

  • Bachelor’s degree in a relevant building, construction or project management discipline with at least 4 years subsequent relevant experience and/or an equivalent combination of relevant experience and/or training.

  • Demonstrated experience in a role of similar scale and scope.

  • Current knowledge of best-practice/leading project management methodologies and frameworks.

  • Demonstrated project planning experience, including the ability to prioritise tasks, work to tight deadlines, anticipate future requirements and resolve issues.

  • Demonstrated problem solving skills using judgement and reasoning in interpreting situations and providing accurate and consistent advice.

  • Effective interpersonal skills that enable effective working relationships with internal and external clients and stakeholders of varying levels of seniority.

  • Excellent time management skills, including the ability to balance competing priorities within tight timeframes.

  • Advanced written and oral communication skills.

  • Experience using Microsoft Teams, Sharepoint and the Microsoft Power Tools would be advantageous, or a proven ability to quickly adapt to new technologies.
