Why Your Role Matters:

The Programs Administrator will provide support across a range of administrative areas and specific projects within the Education Portfolio and is critical to data management in relation to the myBCOM and myMCOM platforms. They will interpret and apply rules, procedures, and guidelines to provide superior administrative support and work effectively across a range of stakeholders within the Business School. This position reports to the Programs Manager, and will work closely with the Program Directors of the Business School’s flagship programs (BCom and MCom), Programs Officers, and the Senior Project Officer, Academic Programs.


Responsibilities:

Specific responsibilities for this role include (but are not limited to):

  • Prepare documentation (including information guides, user FAQs,) that is clear, accurate, succinct and appropriate for the target audience.
  • Coordinate events, seminars and information sessions as required, including the management of room booking, attendee list, catering, documentation and liaising with key stakeholders.
  • Develop operational reports and documents using a variety of software (Word, Excel, PowerPoint) and specialised reporting tools.
  • Schedule meetings and workshops, draft correspondence, prepare meeting agendas and documentation, record meeting minutes and file documents on behalf of Coordinator, and Programs Manager.
  • Support complex administrative tasks under guidelines provided in the Education Portfolio projects, for example, extracting and analysing data sets, ensuring data integrity, protecting data privacy, updating and synchronising data across platforms. This includes data from the myBCOM and myMCOM platforms.
  • Review and proof-read documentation and webpages following guidelines with strong attention to detail.

Skills and experience required (but not limited to):

  • A relevant tertiary qualification and at least 2 years’ experience or an equivalent level of knowledge gained through any combination of education, training and experience.
  • Outstanding organisational skills with proven ability to deal with multiple tasks, establish priorities and meet deadlines.
  • Excellent written and verbal communication skills and the ability to liaise effectively with all levels of staff and external stakeholders.
  • Proven ability to work accurately and efficiently, and with attention to detail.
  • Advanced level of computer literacy with excellent skills in Microsoft Office applications and databases, in particular in Microsoft Excel. Preferably, strong analytical skills and familiarity with data analysis tools (e.g. R, Python, SAS) to support advanced data analysis and automation processes.
  • Proven organisational skills and the ability to operate autonomously while demonstrating strong initiative and a proactiveness.
  • Demonstrated ability to multi-task and apply a flexible approach to workload.
