About the Portfolio
Property Services Group is located in the Operations Portfolio which is the services nucleus of RMIT and the focus for the development of the finance, people development, infrastructure and systems that provide administrative capacity to the University.

Property Services has approximately 100 staff and the responsibility to operate, maintain and enhance the buildings owned and leased by RMIT University, oversee construction projects and ensure the provision of physical facilities services.

About You
The Governance & Compliance Officer plays a pivotal role in providing administration and coordination support to the Reporting & Compliance team across a range of key functions such as quality management, Capital Works governance, compliance and reporting.

The position is responsible for developing, implementing, and maintaining Property Services compliance activities in line with governance and process.

This role requires a high level of administration skill, attention to detail and strong communication to achieve outcomes.
Key Accountabilities

  • Liaise directly with internal subject matter experts to coordinate updates to policies, procedures, work instruction and templates to achieve quality management timelines.
  • Maintain and update quality, compliance and governance registers to ensure current and accurate source of truth.
  • Support and coordinate Capital Works governance activities to enable efficient, effective and compliant project delivery in accordance with policies, procedure and work instructions.
  • Coordinate and assist with the administration of capital works governance. This includes, but not limited to agendas, reports and minutes.
  • Coordinate, administer and maintain Property Services SharePoint Hub and new document management system.
  • Coordinate and maintain the Property Service website to ensure current and accurate information.
  • Work in close coordination with the Reporting and Compliance team to provide various administration support as required.

Key Selection Criteria

  • Experience in the coordination and/or delivery of continuous improvement initiatives/processes.
  • Demonstrated appreciation and understanding of the importance of quality, accuracy and compliance.
  • Proven ability to effectively work within a team environment.
  • Strong capability in administrative functions.
  • High level of technology and computer literacy. E.g. SharePoint and O365.
  • Ability to manage multiple tasks, to priories and meet timelines.
  • Demonstrated knowledge of data management, Integrated Management Systems standards, construction and/or building operations would be viewed favorably.
