The Administrative Assistant role offers a variety of tasks in a dynamic School environment.  We are looking for an Administrative Assistant who is interested in a working in an exciting and fast-paced role that combines administrative expertise, project and event management skills. Excellent communication and interpersonal skills and ability to prioritise effectively is essential. Demonstrating a high attention to detail is also an advantage.

  • Employment Type: Part Time, Fixed Term positions to 20 December 2024 (2-3 days a week)
  • Remuneration Level 4: $75,927 - $80,094 + 17% Superannuation Pro Rata.
  • Location: Kensington, NSW (the successful candidate will be required to work on-site/on campus)

Why The Role Matters:

UNSW Faculty Arts, Design & Architecture is seeking THREE Administrators to join their Faculty with fixed term hours between 14 to 21 hours per week (2 – 3 days):
1. Administrative Assistant - School of the Arts and Media
2. Administrative Assistant – School of Humanities and Languages
3. Administrative Assistant - School of Built Environment

The Administrative Assistant provides effective day-to-day administrative support within the School to ensure all services are provided efficiently to meet the operating needs of The Faculty of Arts, Design and Architecture The role reports to the School Manager, supporting the Head of School and relevant leadership within The School. This position is situated in a team-based environment where during peak times the sharing of roles and the collaborative support for the work of colleagues may occur.

Accountabilities:

  • Provide general advice relating to administrative guidelines, processes and activities, and triage complex enquiries as needed.
  • Participate in relevant projects and activities and ensure sound working relationships with academic and professional employees.
  • Maintain the general administrative/clerical duties in the School office (eg. typing, data entry filing, photocopying, accepting/arranging deliveries and couriers, mail sorting, etc.)
  • Respond to a range of in-person, telephone and email enquiries and assist the school to action standard enquiries from professional and academic colleagues including but not limited to travel, expense reimbursement, diary management, recruitment, purchasing and event organisation from internal and external stakeholders, and initiate escalation if required.
  • Develop and maintain filing systems, spreadsheets, databases, websites and other administrative systems.
  • Arrange, support and promote meetings and small events for internal and external stakeholders.
  • Assist with drafting agendas, minutes, correspondence, briefing notes, and guidelines for school specific committees and meetings.
  • Assist with School space management needs by reviewing requirements to support a positive student and staff experience.
  • Undertake induction and new starter process for new staff and visitors including access to systems and building and site orientation.

Skills and Experience: 

To be considered you will hold Australian Working Rights or Australian Citizenship. Visa sponsorship is not available for this appointment.

  • Associate diploma or equivalent combination of qualifications and work experience.
  • Strong organisational skills including ability to prioritise tasks and duties in order to meet deadlines.
  • Excellent customer service, interpersonal, written, and oral communication skills.
  • Demonstrated experience in a range of computing skills including word processing, spreadsheets, and databases and a willingness to learn new systems.
  • Ability to work effectively and with high level of attention to detail in a busy office.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training.
