Job Summary
 

Responsible for maintaining, receiving, tracking and coordinating assets and consumables housed within the UITS warehouses and stockrooms. Accountable for overseeing warehouse activities. Facilitates the timely and cost-effective reception, warehousing and staging of inventories. Utilizes technology tools to initiate and validate IT asset management and inventory processes. Creates data reports and dashboards to monitor day-to-day activities and/or to resolve issues from KSU staff. Generates specialized technology reports upon request to support the needs of departments across KSU. Reviews, monitors and recommends effective inventory control processes. Manages warehouse processes and directs the work staff, contractors and students as required to complete tasks. Provides for the safe and secure operation of all warehouse activities, equipment, employees and inventory


Responsibilities
 

KEY RESPONSIBILITIES*:
1. Maintains receiving, warehousing, and supports distribution operations by creating, coordinating, and enforcing program, operational, and personnel policies, processes and procedures
2. Safeguards warehouse operations and contents by establishing and monitoring security procedures and protocols
3. Responsible for approving and validating who has access, and when they have access, to the various warehouses and stockrooms
4. Controls inventory levels by enforcing the use of standard processes, conducting physical counts, and reconciling with the inventory management system
5. Maintains physical condition of warehouse by planning and implementing new design layouts, inspecting equipment, issuing work orders for repair and initiating requisitions for replacement
6. Assigns employees and students to jobs to ensure priority tasks are completed on a timely basis
7. Monitors inventory of stock items and consumables, and builds the order list to maintain specific levels ensuring on-time availability
8. Ensures assets are properly maintained and tracked in the UITS asset and inventory management system
9. Receives and evaluates new and returned IT equipment, assigns and records asset tags as required, tests for damage and proper operation, and ensures all equipment is updated in the UITS IT inventory and asset management system
10. Pulls stock and/or new items to fill parts list for upcoming installations and deliveries
11. Processes IT inventory surplus following proper USG and DOAS procedures and accurately updates the IT inventory and asset management system
12. Uses analytical skills, creates system reports, creates data dashboards, monitors system output, and updates data to resolve issues and maintain accuracy of data
13. Engages with technology staff to resolve issues to ensure IT projects are supported and manages the validation of installations upon the completion of projects
14. Manages the use of the IT vehicle fleet assigned to the warehouse including reserving the fleet and verifying employees are authorized and have appropriate training to operate KSU vehicles
15. Maintains a clean and organized warehouse, stockroom, and office environment at all times
 


Required Qualifications
 

Educational Requirements
Associates degree from an accredited institution of higher education in related field or an equivalent combination of relevant education and/or experience
Other Required Qualifications
Current, valid and unrestricted Georgia driver's license
KSU forklift training within thirty (30) days of employment
KSU driving requirements for UITS vehicles (i.e., Box Truck) within thirty (30) days of employment
Required Experience
Five (5) years of related warehouse and asset management experience demonstrating a progression of increasing responsibility

Experience with a warehouse management and/or asset tracking system
SKILLS
Self-starter with strong interpersonal, initiative, teamwork, problem solving, organization, communication (verbal and written), time management, and relationship building, along with an ability to translate between technical and functional teams
Proficient with computer applications and programs associated with the position (i.e., Microsoft Office suite, strong skills using Microsoft Excel, ServiceNow, Peoplesoft)
Strong attention to detail and follow up skills
Strong customer service skills and phone and e-mail etiquette
