Position Summary
This recruitment will be used to fill two part-time (a maximum of 24 hours per week) front desk for the talent management at Oregon State University (OSU).
The primary responsibility of the student worker is to provide backup to the Foundation’s front desk which includes greeting visitors, answering, and transferring phone calls and providing support to Foundation staff members related to tasks associated with the front desk operations. This position also provides support for the Talent Management Team related to Foundation wide events and activities and may provide support to projects and recruiting efforts. 
Position Duties
Major Duties: 
  • Provide coverage at the front desk during breaks and lunch period. 
  • Greet the public, donors, faculty, trustees, visitors and OSUF staff, in person and on the phone. 
  • Serve as first contact between Foundation employees and their callers and visitors. Keep staff informed about the status of visitors, calls, and faxes. 
  • Answer multi-line phone system, forward incoming calls to individual or to voice mail, or take accurate messages when calls cannot be directed to a staff member. Ensure messages are delivered to designated staff, forward overnight voice mail messages as appropriate. 
  • As needed, follow all front desk procedures for opening and closing the lobby. 
  • Help maintain conference rooms by conducting a walk through on a regular basis, at least once per day, to ensure the rooms are neat, clear of clutter, wiped down and ready for use. 
  • Maintain the Foundation Board room to ensure it is neat, free of clutter, and ready for use. Help arrange the Board room for events and activities as needed. 
  • Ensure the Hop’s Café, exercise room, catering kitchen and Christensen Library are neat, clutter-free, and ready for use.  
  • Ensure proper and timely processing of all incoming and outgoing mail.  
  • Prepare campus mail for daily pick up and receipt delivery; prepare Fed Ex and overnight express mailings; receive locked mail from campus security on a daily basis, and, in return, include any mail for Foundation employees housed at Gil Coliseum for return delivery; sort and disburse received US mail and inter-campus mail to individual mailboxes. 
  • Ensure the Ochoco conference room is ready for candidate interviews by ensuring it is wiped down, neat, clutter free, and water and snacks are provided as needed. 
  • Greet candidates and ensure they are welcomed and have what they need as they prepare for interviews. 
  • Order supplies as needed or requested. 
  • Perform other duties, including helping support Talent Management Team with recruitment and special projects, as assigned. 
  • Minimum Qualifications

    • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
    • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
    • Must meet the applicable minimal enrollment standard
      • High School student: Regularly enrolled in a high school or participating in a home-schooling program
      • Undergraduate and post-baccalaureate student: 6 credit hours per term
      • Undergraduate international student: 12 credit hours per term*
      • Graduate student officially admitted to Graduate School: 5 credit hours per term
      • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

    *International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
    Additional Required Qualifications
    Must be a student at Oregon State University and have a general understanding of office practices. Be able to handle interpersonal relationships maturely, thoughtfully, and empathetically, including the ability to work with individuals from diverse backgrounds.  Be able to do manual labor and carry 5-20 lbs. 
    Work Schedule – This is a part-time position working up to 20 hours per week. This position’s main workdays are Monday and Friday between 10:00 AM – 5:00 PM. An additional day or hours can be added if 20 hours per week is desired, and work is available. Additional hours during summer break are available. 
    The work location for this position is on-site in the Foundation’s Corvallis office.
