Position Description:

The Office of Medical Student Affairs is seeking a Student Services Specialist to support the School of Medicine mission to foster and celebrate the success of our medical students.

Job Summary

The purpose of this position is to support the School of Medicine's mission to foster and celebrate the success of our medical students. This position will be responsible for maintaining student status records with respect to academic standing and enrollment and will communicate student status with necessary stakeholders in medical education and student affairs. This position will likewise communicate with students regarding leave of absence, enrollment status and academic standing.  

This position will report to the Manager of Student Programs in the Medical Student Affairs office.

Demonstrate the ability to lead new initiatives, work closely with others and maintain collegiality; work independently and autonomously with minimal direction; be detail-oriented; have strong organizational skills; and a desire to work closely with medical students. This position will report to and work with the Manager of Student Programs to assist in planning and carrying out all functions that support and celebrate student success.

Essential Duties and Responsibilities

  • Manage medical student status records and communicate Leave of Absence (LOA) data and academic standing with students as well as necessary faculty and staff.
  • Oversee all medical student testing accommodation. This involves coordinating with the Disability Resource Center (DRC) to assist students needing accommodations and scheduling proctors for school of medicine exams while serving as the primary proctor for students with accommodations.
  • Advise medical students on LOA regarding expectations and timelines; regularly communicate with and offer support to students who are on LOA.
  • Prepare reports of student status for internal and external award consideration.
  • Calculate and communicate class rank for all school of medicine students.
  • Monitor and track student engagement with programming as well as attendance at mandatory events.
  • Ensure all accreditation elements related to student engagement and involvement are always up-to-date and in compliance.
  • Oversee scheduling for the Advisory Dean program, including but not limited to, coordination of meetings and wellness events for 24 faculty Advisory Deans and over 600 students.
  • Assist the Manager of student programs with planning orientations, award convocations, graduation, and white coat ceremonies.
  • Other duties as assigned.
Preferred Qualifications
  • Master's Degree in Higher Education Administration or related field & two years of related experience in higher education.
  • Excellent communication, organization, and interpersonal skills.
  • Experience may be used on a one-to-one basis to offset the educational requirements.
  • Proficiency in MS Outlook, Word, Excel, and PowerPoint.
  • Experience working in a medical school or professional school setting.
  • Program planning and evaluation experience.
  • Public speaking skills.

Compensation will be commensurate to candidate experience.
