Job Description

The Herberger Institute for Design and the Arts at Arizona State University is seeking an outgoing Student Services Assistant to support the academic success team for the Office of Student Success at the Tempe campus. The individual in this position will deliver exceptional customer service to the Institute’s students including greeting visitors, scheduling appointments and providing answers to student inquiries.

Salary Range

$20.00 - $20.50 per hour; DOE


Essential Duties

  • Handles a large volume of in-person visitors, phone calls, and email inquiries; greets visitors and directs them appropriately, answers phone calls in a professional and courteous manner, and directs calls to appropriate personnel.
  • Answers student inquiries, assists with student concerns, and assists with scheduling student appointments.
  • Provides administrative support including scheduling meetings, monitoring academic advisor calendars, assisting students with registration form processing, and routing digital forms to other campus offices as necessary.
  • Manages the daily opening and closing of the Office of Student Success suite. 
  • Provides training and support to front desk student employees.
  • Compiles routine reports. 
  • Sends out weekly advising survey. 
  • Maintains inventory of office supplies and prepares supply orders. 
  • Retrieves and distributes mail from mailroom and various offices on campus. 
  • Reviews student records to confirm admission, major, and advising needs.
  • Assists with random assignments, special projects, advising matters, and activities as requested 
  • Acts as a liaison to department, college, and university committees on issues related to academic success. 
  • Other related duties as assigned.

Minimum Qualifications

Bachelor's degree in a related field; OR, Four (4) years of administrative and/or program experience: OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Experience in higher education. 
  • Experience in arts and/or design.
  • Demonstrated knowledge and skill in office procedures.
  • Experience in establishing priorities.  
  • Evidence of effective communication. 
  • Experience with building strong relationships with diverse populations.
  • Experience in Microsoft Office Suite, AdobeSign, Saleforce, Google Drives, and PeopleSoft.
  • Experience in dealing with confidential and sensitive information.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
  • Regular use of standard office equipment including, but not limited to computer workstation / laptop (keyboard, monitor, mouse), printer, fax, copier, and telephone.
