Department Description

The UC Davis School of Law is consistently ranked among the premier law schools in the United States overall and in terms of faculty and student quality and diversity. The school has nearly 600 Juris Doctor (JD) students enrolled in the full-time 3-year program, as well as a LL.M Program, certificates in Public Service Law, Business Law, Criminal Law, Environmental Law, Immigration Law, Intellectual Property Law and Tax Law, and Joint Degree programs, including JD/MBA, and JD/MA.
The budget for the Law School exceeds $40 million including state funds, tuition and professional fee revenue, gifts, and endowments. Current market value of endowments exceeds $12 million. School facilities include 60,000 square feet in 3 buildings. The School has 40 active faculty and more than 100 staff.
This position shares responsibility of providing business transaction processing with other staff members that back each other up during absences and peak workload periods.

 

Job Summary


Under general supervision, work independently on a variety of assignments including contracts and grants submission, extramural account management, departmental and discretionary account management, general accounting, personnel actions, recharge facility account management and rate development. Support the Director of Financial Services and Budget, Contracts & Grants Analyst to enhance or improve daily business processes and procedures. Advise Director of Financial Services regarding potential impact and recommend solutions to policy and procedural changes. Suggest methods and procedures to meet department goals.

In addition, review monthly and biweekly payroll and payroll reports to ensure payments are accurate. Review/reconcile departmental ledgers monthly and assist with the fiscal closing. Serve as Account Manager to interpret University/campus policy and procedure, manage, review and approve documents of assigned accounts in Aggie Enterprise and Aggie Expense. Independently maintain files with track-able documentation. Provide assistance with usage of Aggie Enterprise.

Working with the Budget, Contracts & Grants Analyst, responsible for comprehensive and accurate budget construction, projections, management, and summary reports for the main annual operating accounts of each School of Law unit. Review, run reports and analyze data from general ledger to communicate budget and financial information to a wide range of people, including the directors, PIs, staff, internal and external collaborators and liaisons, and external advisory board members. Assist with pre-and post-award grant administration.

Provide general support to the School of Law Human Resources Manager, works with a high degree of independence to provide student recruitment support and coordination. Apply problem-solving skills to resolve various matters; exercise judgment and discretion in handling sensitive issues. Liaisons with Academic Unit Shared Service Center (AUSSC) to resolve key issues related to personnel and payroll transactions.

WORK ENVIRONMENT

  • This position may be eligible for flexible work arrangements including flex schedule and/or hybrid/remote.
  • Work in a shared office with interruptions from traffic, conversations, and office equipment, etc.
  • Restricted vacation during the fiscal close from mid-May to early July.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  • Experience to research, create, elicit, analyze, and summarize information from a variety of sources to prepare intricate budgets and accounting and forecasting reports with complex spreadsheets.
  • Demonstrated Accounting/Financial management experience with analytical and mathematical skills including: preparing accurate budget projections and expenditure analyses, and reconciliation of expenses in excel or understandable format such as graphs, charts, tables and/or spreadsheets.

Minimum Knowledge, Skills, and Abilities (KSA):

  • Highly organizational skills to identify issues and tasks, set priorities, compile appropriate information and documentation, present materials and meet deadlines with attention to detail and accuracy.
  • Ability to work in a focused manner on multiple and simultaneous projects with shifting priorities, handle changes in a professional manner while meeting deadlines.
  • Ability to follow through on all actions, with appropriate communications to close any action loops. Maintain confidentiality of personnel or other sensitive issues/matters and exercise independent judgment and discretion in dealing with controversial or potentially sensitive topics.
  • Knowledgeable of policies and procedures related to sponsored research, cost accounting standards, general accounting, business contracts, materials management, inventory control and internal controls.
  • Oral and written communication skill to prepare clear, accurate correspondence, policies and procedures, and informational documents to communicate clearly, effectively, and professionally in person, by phone and by electronic mail.

 

PREFERRED QUALIFICATIONS

Preferred Education/Experience:             

  • Experience using UC Davis campus systems or equivalent (KFSFIS Decision Support, AggieEnterprise, AggieExpense, AggieService, UCPath).

Preferred Knowledge, Skills, and Abilities (KSA):

  • Knowledge of University Policies and Procedures in purchasing, accounts payable and receivables, expense transfers, ledger reconciliation, error corrections and travel & entertainment policies and procedures.
  • Skills using creative techniques through the proposal of new policies or procedures for the development of solutions to complex and sensitive issues/problems.
  • Ability to learn new systems and adapt to change.
