Job Description

Watts College of Public Service and Community Solutions Research Advancement Team seeks a Research Advancement Administrator (RAA).  As a member of the pre-award team this position provides primarily pre-award assistance to research investigators within the Schools of the College and Centers’ in the area of proposal preparation, budget development, submissions, and post submission actions.  Advancement staff also serve as liaisons across campus between colleges, schools, departments and research investigators in their interactions with the Office of Research and Sponsored Project Administration (ORSPA) and external sponsors.  

The ideal candidate has a basic understanding of adhering to guidelines, budgeting/or prior experience with grant proposal submissions. This is an early to mid-career track position (level 2 of 6) with opportunities to increase complexity and advancement based on job performance. This position is "full remote" which is an arrangement where employees spend 100% of their regular workweek at another location other than an ASU work location.

Salary Range

$48,000 - $58,000 per year; DOE


Essential Duties

  • Performing funding searches to help identify opportunities 
  • Reviewing funding announcements and providing guidance on eligibility and sponsor requirements 
  • Contacting sponsors for clarification of application guidelines 
  • Providing assistance drafting budget justifications in conjunction with PI/Unit 
  • Assisting sub-recipients with questions related to completing sub-recipient commitment forms 
  • Preparing sponsor budget forms or creating acceptable budget formats 
  • Assisting and completing other sponsor required forms and review for compliance (current and pending support, bio sketches) 
  • Completing administrative information according to sponsor guidelines 
  • Completing and routing all internal forms using information provided by PI/Unit 
  • Verifying cost sharing required by sponsor.  
  • Uploading files for sponsors requiring electronic submission.  
  • Reviewing proposals against guidelines before sending to the Office of Research and Sponsored Project Administration.  
  • Submitting applications via ASU’s online system to Office of Research and Sponsored Project Administration for review, signature, and transmittal to sponsor.  
  • Assisting with post submission action items requested by the sponsor such as Just In Time requests, revised budgets, scope of work, additional certifications, etc.  
  • Assisting in non-transactional award management, which may include but are not limited to: Guidance and assistance in preparing administrative post award management including At-Risks, Pre-Award Costs, re-budgets, No Cost Extensions.  
  • In conjunction with and in support of ORSPA, provide assistance and support securing additional information during negotiations as necessary 
  • Acts as administrative resource to ASU research investigators and ORSPA staff to resolve problems. 
  • Interact with diverse groups responding to inquiries (faculty, staff, students, ORSPA, OKED, etc.) in a timely manner using effective interpersonal communication, critical thinking and problem-solving skills and methods as appropriate to address questions and/or concerns; in accordance with University and Sponsor guidelines; 
  • Works independently under deadlines, manages multiple responsibilities and duties, with interruptions, and in unclear and/or changing situations;
  • Looks for/suggests workflow process improvements and collaborative efficiencies within unit and college;
  • Other duties and responsibilities as assigned.

Minimum Qualifications

Bachelor's degree in a related field. Three years of experience in a field appropriate to the area/unit of assignment OR Any equivalent combination of education and/or experience from which comparable knowledge, skill and abilities have been achieved.


Desired Qualifications

  • Demonstrated knowledge of a wide variety of sponsors Federal, State, Local, Foundation and/or ability to read funding announcements and become knowledgeable on new sponsors.
  • Experience problem solving, critical thinking, and time management skills; demonstrated evidence of multitasking while producing accurate output; demonstrated evidence of meeting deadlines for multiple projects.
  • Experience working independently as well as a member of a unit team, and larger interdisciplinary business team. 
  • Demonstrated knowledge of:  higher education, Board of Regents practices, Research and Sponsored Projects (RSP) Manual on policies and procedures.
  • Demonstrated knowledge of ASU systems including ERA, PeopleSoft, and Research Analytic Reports.  
  • Evidence of effective communication skills and a high level of customer service.
  • Experience with technology skills including Microsoft Office Suite; Excel, Adobe Pro Acrobat experience

Working Environment

  • This position is 100% remote and assigned to the Watts College at the Downtown Campus of ASU
  • Activities are subject to extended periods of sitting. Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching and lifting up to 20 pounds. 
  • Ability to clearly communicate to perform essential duties. 
  • Ability to work both independently or within a complex structured team. Normally receives no instructions on routine work and general instructions on new assignments with review of completed tasks. 
  • Exercises judgment within generally defined practices & policies in selecting methods & techniques for obtaining solutions.
