Department Description

Department Purpose

The Academic Senate Office supports both the Davis Division of the Academic Senate and the Academic Federation. The Academic Senate is a legislative organization to which the UC Regents have delegated authority to establish, revise and maintain curricula, instruction, course approval, and admissions policy. The Senate is comprised of the Representative Assembly and more than 30 standing committees. Many of the committees have statutory authority and as such the committee’s deliberations and work lead to establishment/revision of campus policy and procedure that directly impact the university.
All standing committees have official advisory authority fulfilling the UC Regents requirement for formal faculty counsel/advise concerning campus academic personnel, budget, resource and research principles, policies and procedures. All standing committees are assigned analysts to manage the committee’s work and provide immediate, current and historical policy information and guidance. All committees and the analysts interact daily with campus and UC senior administrative offices.
The Academic Federation is the only UC organization of its kind and represents 17 academic titles (non-Senate, non-staff titles) and works closely with the Academic Senate. The Academic Federation has 15 active committees supported by the Academic Senate Office.

 



Job Summary

Under general supervision of the Associate Director, provide analytical and administrative support to multiple committees of the Academic Senate and Academic Federation.
Counsel committee chairs, members, and campus community on policies and procedures. Communicate campus and Senate/Federation policies and procedures and the impact to faculty and staff.
Ensure committee compliance with campus and systemwide policies and practices. Participate in committee deliberations to (1) define/recommend courses of action on policy reviews/development and (2) problems and/or streamline processes. Make judgments, decisions, and provide recommendations that impact campus academic operations. Conduct research, analyze data, and provide comparative reports, statistical analyses and historical summaries.
Develop operational procedures. Recommend establishment or revision of existing campus and committee policies and procedures. Committee assignments and support are subject to change to accommodate analyst cross-training, exposure to multiple committees, succession planning, and meet office business need.

QUALIFICATIONS

 

Required:

 

Minimum Education/Experience

  • Experience providing analytical and administrative support that includes, but not limited to, conducting research, interpreting data, providing comparative reports, statistical analyses and historical summaries using computerized systems including Microsoft Office, web based applications and databases. Experience with the conversion of documents, developing presentations and utilizing audio/visual and teleconferencing technology for projects during meetings.

 

  • Experience working in an executive-level office environment handling and/or advising others on sensitive/confidential information and situations diplomatically.

 

Minimum Knowledge, Skills, and Abilities (KSA)

  • Interpersonal skills (oral and written) to communicate professionally and collaboratively; ability to work effectively with individuals from diverse cultural and professional backgrounds.

 

  • Ability to facilitate meetings, processes and developing consensus amongst a group.

 

  • Mathematical skills to create and analyze figures, formula and financial data for committee members, reporting and providing accurate analysis of proposals.

 

  • Writing, editing and proofreading skills to compose clear, concise and grammatically correct documents and communication.

 

  • Organizational skills to work on multiple projects and unexpected job demands with competing deadlines and changing priorities with both urgency and flexibility while maintaining productivity.

  • Experience developing creative solutions to general problems, attempting unfamiliar projects/assignments and respond with flexibility to requests for assistance.

 

  • Experience contributing to a team environment.

  • Skills to interpret and apply principles and bylaws governing the Davis Division of the Academic Senate and Systemwide Academic Senate, in order to provide accurate information to Academic Senate leadership, chairs, committees, faculty, and academic/administrative departments.

 

  • Skills to synthesize complex issues and record the essence and intent of committee actions.
