If this sounds exciting to you, then keep reading, because the Global Security Initiative (GSI) at Arizona State University is seeking a Project Coordinator to support the administration of research awards in our Center for Accelerating Operational Efficiency (CAOE).

As a Project Coordinator, you will be responsive to the operational, programmatic, and business needs of the center, as determined by the Center Director.  You will report to CAOE’s Assistant Director and assist staff and faculty colleagues in many aspects of research administration and operations. On any day you might be reconciling project accounts, reviewing and processing subaward invoices, processing reimbursements, managing purchases, organizing travel and associated expense reports, helping the team prepare reports for research sponsors and GSI leadership, or planning diverse programs and events to support the center’s growth. In partnership with GSI’s assistant director and staff in Knowledge Enterprise you will also support center recruitment efforts and assist new center personnel with resources and access requests. Ultimately, all your responsibilities will help ensure CAOE meets sponsoring agency deliverables in compliance with federal, state, ASU, and sponsor policies and regulations.

CAOE works closely with the government, academia, and industry to develop and apply advanced analytical tools and technologies to enhance planning, information sharing and real-time decision-making in homeland security operations, and currently manages $20 million in award funding. Salary Range

$44,950 - $60,000 per year; DOE


Essential Duties

  • Assists with planning, developing, implementing, and tracking day-to-day operations for multiple sponsored projects under our DHS award.
  • Works closely and collaboratively with key stakeholders, including building relationships with operational and programmatic staff at departments and schools across the university and our partner universities.
  • Assists with preparation of project status reports including tracking progress and outcomes.
  • Assists with the coordination and execution of project activities.
  • Identifies trends and anticipates and responds to project risks and results.
  • Organizes tasks, responsibilities and outcomes, documents activities and tracks progress.
  • Assists with the execution of project budgets by processing purchases, reimbursements, and travel as well as tracking overall expenditures.
  • Fosters team effectiveness by acting to develop an environment that promotes the effectiveness and morale of the team.
  • Coordinates research personnel hires in accordance with project needs.
  • Provides onboarding support to new research personnel for smooth integration into project activities.
  • Other special projects as assigned.

Minimum Qualifications

Bachelor's degree and 2 years related experience; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience with financial and reporting aspects of pre- and/or post-award sponsored projects.
  • Demonstrated knowledge of budgeting and accounting principles.
  • Experience with ASU sponsored project policies, procedures, and systems, such as ERA.
  • Experience using ASU’s Concur system for travel arrangements and expense reports.
  • Experience using Microsoft Office applications (Word, Outlook, PowerPoint, and at least intermediate Excel), and Dropbox.
  • Experience using Workday, ASU’s financial management system.
  • Experience with project management software.
  • Experience working with an institutional review board (IRB) .
  • Experience in work that requires strong communication and organization skills, attention to detail, and comfort interpreting written policies.
  • Experience coordinating and prioritizing work and activities of self and others.
  • Evidence of the ability to build successful working relationships with diverse colleagues including faculty, staff, and students, both in-person and in a virtual environment.
  • Evidence of a solutions-based mindset and ability to creatively problem solve.
  • Evidence of the ability to work for extended periods of time without day-to-day oversight.
  • Comfort with process-based work along with a desire to constantly improve those processes to increase efficiency.

Working Environment

  • Climate-controlled office setting subject to extended periods of being in a stationary position.  
  • Constantly detects and operates a computer and other office productivity machinery, such as a calculator, copy machine and computer printer.   
  • Ability to clearly communicate and exchange accurate information to perform essential duties.  
  • Expected to be responsive to customers, engaged in work production, resourceful, flexible, and respectful of others.
  • Alternative work schedules can include four, 10-hour workdays in a workweek; a nine-day, 80-hour schedule over two workweeks for exempt employees only; and staggered start and stop times.  
  • Hybrid work is an arrangement where employees spend a minimum of 60% of their regular workweek at their primary ASU work location. Dean or vice president-level approval is required.  
  • Remote work is an arrangement where the employee spends less than 60% of their regular workweek at a regularly assigned ASU work location. Executive vice president-level approval is required.
