The Center for Excellence in Developmental Disabilities at UAB – Psychology department is seeking to fill a hybrid position as a Program Coordinator II (requiring 2-3 days/week on campus). This position will provide administrative support for the UCEDD and LEND and affiliated programs (e.g., RAN, PIPA, contracts and subcontracts) and will report to the CEDD Director and will work closely with the Associate Director and Training Director.  

This position works under minimal supervision, coordinates administrative, personnel and logistical support for a defined department program (s), often of a large and/or complex nature. Carries out established program objectives and directives. Follows established guidelines or protocols. Determines the best approach to accomplish assignments. May participate in program planning and in setting program objectives. May supervise support staff. May act as a communication liaison and special events planner. Interfaces with outside resources such as volunteers, alumni, patients, other professionals in a defined field or with continuing education students. May be responsible for adherence to program budget and/or other fiscal duties. May assist with grant and contract preparation and submission. May handle data management. 

 

Key Duties and Responsibilities

·         Processes reimbursements, payments, orders, registrations, participant payments, etc. for trainees and LEND/UCEDD faculty/staff for program-related activities (as approved by Director)Data entry in NIRS and preparation for monthly, quarterly, and annual reviews and performance/progress reports.

·         Collects and organizes other outcome measures (patient satisfaction data, checklists, activities/projects, etc.) for NIRS.

·         Coordinates Core Lecture didactic seminars

o    Schedules and advertises core lectures, sets up zooms, recording, etc. and prepares list of participants- requires attendance at weekly lecture

o    Collates data received from Core lectures (e.g., surveys)

·         Assists with CE planning and implementation (e.g., Simpson-Ramsey Symposium).

·         Updates website and Canvas learning platforms, monitors Center incoming email and requests and routes to appropriate faculty/staff.

·         Assists with preparation of quarterly and annual reports and grant submissions.

·         Coordinates schedules, attends meetings, and takes notes/minutes for CEDD-related activities.

·         Provides support for CE events, including facilitating speaker, venue, and vendor contracts.

·         Communicates with campus and community partners, including the Consumer Advisory Committee and Civitan groups LEND trainee-related tasks, including:

o    Serve as trainee contact and liaison with Training Director and Training Coordinator

o    Facilitates on-boarding and exit processes of LEND trainees in collaboration with discipline mentors (setting up in Oracle, collecting and distributing paperwork, uabmc email, EPIC access, building access, keys, contracts, etc.)

o    Maintains trainee records

o    Coordinates and collects records related to trainee exit interviews, etc.

o    Attends Training Committee monthly meetings, taking notes, and ensuring follow up on tasks

o    Completes trainee surveys once per year

o    Enters and prepares NIRS data related to trainees for reporting

o    Serves as primary point of contact for affiliated degree programs in matters of trainee records (e.g., when asked for proof of program completion from former trainees)

o    Implements strategies for alumni engagement and follow-up and serves as point of contact for former trainees.

·         Perform other duties as assigned

 

 

Hourly Pay Range: $18.35 - $29.80

 

Qualifications

 

Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
