OFFICE ASSOCIATE II

The University of Alabama at Birmingham

Under general supervision and with some discretion on prioritizing work and according to established policies and procedures, to provide administrative support to the department physicians, as well as, general operational support to their assigned clinic/department. To coordinate meetings as requested and make travel arrangements. To serve as liaison to other departments.

Key Duties & Responsibilities

  • Coordinates faculty calendars and schedules, arranges meetings and conferences, notifies attendees of any changes.

  • Performs standard clerical and administrative duties.

  • Prepare and process Oracle requisitions and process reimbursements for faculty trips, license renewals, etc.

  • Requires demonstrated knowledge of the fundamental concepts, practices and procedures of the secretarial function usually gained through formal education in secretarial science or secretarial experience

  • Maintain accurate leave files for faculty to coordinate with eLAS system.

  • Reads, prioritizes and routes incoming mail.

  • Makes travel arrangements and reservations.

  • Schedules appointments.

  • Orders supplies, maintains databases and reports.

  • Assists with special projects.

  • Drafts and types correspondence.

  • May supervise other support personnel.

  • May handle confidential information, dictation and transcription.

  • May verify insurance and process medical record request

  • Organize, track and maintain compliance for faculty licensing and required education for staff.

  • Attend various department meetings and take minutes of meetings.

  • Monitor and schedule department conference room.

  • Perform other duties as assigned

  • Ability to coordinate and complete multiple tasks in a timely manner.

  • Strong organizational skills, with attention to detail.

  • Ability to work as a team and communicate effectively.

Hourly range : $15.00-$24.40



Qualifications

Education


High School diploma or GED

And five (5) years of related experience required
