Job Description

The College of Health Solutions (CHS) is seeking a highly-motivated, enthusiastic Office Assistant/Receptionist to perform administrative work requiring initiative and independent judgment. Under administrative direction, this position serves as the front facing receptionist for CHS faculty, staff, students, and visitors of the Speech & Hearing Department. The incumbent will work independently to implement administrative policies, handle problems and non-routine situations by determining the approach or action to take, and interpret guidelines, procedures, policies and practices. The successful candidate will be a self-starter with an efficient work methodology, excellent communication skills, productive work qualities, an ability to coordinate multiple tasks autonomously, and someone who can exercise sound judgment in decision-making.

This position is not eligible for Hybrid work. It requires an employee to be available during the following work hours: 8:00 am 5:00 pm, Monday-Friday for a 40-hour work week.

Essential Duties

  • Answer telephone and greet visitors giving general information in response to inquiries.
  • Maintain proper inventory of faculty and staff office supplies; order and replenish items as needed.
  • Ensure the mail/supply room is maintained in an orderly and organized fashion.
  • Deliver oral and written messages to unit members.
  • Sort and distribute incoming mail.
  • Create, update, print, and post name plaques as needed.
  • Create CHS name badges for new faculty, staff, student workers, and Speech and Hearing Clinic graduate employees.
  • File correspondence, memoranda, reports and other materials alphabetically, numerically or by other prescribed method.
  • Maintain routine clerical records, logs and data and compiles routine reports.
  • Maintain records for building key orders.
  • Operate office equipment such as copiers, fax machines, printers, or other equipment found in work unit.
  • Word processes/types routine letters, labels, reports and similar items from rough draft or clear copy.
  • Complete or enter data to departmental forms, making routine calculations and checking information for accuracy.
  • Process documents or forms according to instructions.
  • Deliver items to other offices or locations.
  • Ensure that classrooms and public spaces are unlocked and accessible.
  • Guide visitors/patients to the Speech & Hearing Clinic.
  • Print and replace weekly classroom and conference room calendars daily and as needed when changes occur.
  • Reserve CHS and University classrooms in addition to CHS conference rooms.
  • Submit service tickets for copier maintenance and Facilities' requests.
  • Print/Copy class materials and exams for CHS faculty.
  • Assist faculty with creating digital copies of book excerpts as needed for class instruction.
  • Assist faculty with complementary book orders through publisher.
  • Update policy/procedure manuals on a shared electronic folder.
  • Act as primary contact for assigned function with other departments.
  • Participate in special projects with staff as directed.

Minimum Qualifications

No prior experience required; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience working in a higher education environment.

  • Experience utilizing Outlook, Microsoft Office Suite and Google Drive.
  • Demonstrated knowledge of standard office policies and procedures.

  • Experience in using initiative, organizational skills and attention to detail.
  • Experience in anticipating problems and resolving them.
  • Experience in managing multiple high priority projects in a fast-paced environment requiring considerable coordination and follow through.
  • Experience in dealing with confidential and sensitive information.

Working Environment

  • Use basic math.
  • Activities are performed in an environmentally controlled office setting.
  • Required to stand for varying lengths of time and walk moderate distances to perform work.
  • Ability to clearly communicate to perform essential duties.
  • Use office equipment, i.e. printers, copiers, fax machines, telephones, calculator.
  • Use of software/computer equipment for extended periods of time.
  • Ability to lift and transport 25 lbs. Frequent bending, reaching, lifting, pushing and pulling up to 25 lbs.
