Biochemistry & Molecular Biology has an exciting opportunity for a Senior Sponsored Programs Specialist position. The incumbent oversees administrative and financial aspects of the Sponsored Programs division. The incumbent operates with the objective of increasing sponsored funding levels and the output of funding proposals, as well as maximizing the use and efficacy of existing research funding dollars. Additionally, the Senior Sponsored Programs Specialist develops and implements policies and methods that are most effective to that end.

CORE JOB FUNCTIONS                                                                                           


  • Provides technical assistance and guidance to faculty and administrators in the development and preparation of funding proposals. 

  • Responds to general inquiries regarding sponsored program policies and procedures. 

  • Reviews grant applications to ensure accuracy. 

  • Accesses applicable database(s) to verify regulatory compliance approvals before establishing of the project account. 

  • Maintains the internal proposal documents and electronic records for assigned portfolio. 

  • Processes and disseminates various non-financial post-award actions such as award notifications, amendments, and related documents. 

  • Assists in the coordination of the project closeout. 

  • Coordinates with faculty on possible need for budget revisions to be consistent with award amount as received. 

  • Reviews award terms and conditions and discusses flagged items with faculty. 

  • Oversees all audits and bank reconciliations of petty cash accounts. 

  • Monitors sponsored programs subcontracting activity. 

  • Submits to accounts payable all received and endorsed invoices and tracks timely payments by that unit. 

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS                                                                                        

  • Bachelor’s degree in relevant field

  • Minimum 3 years of relevant experience

DEPARTMENT SPECIFIC FUNCTIONS


  • Responsible for submitting all proposals for grant and contracts for the all Departmental faculty, researchers and graduate students. 

  • Responsible for managing all tasks related to submissions. 

  • Coordinate with the central ORA Pre Award Office to ensure all submissions are handled in a timely matter. 

  • Will work with all who submit proposals in the department to ensure that agency guidelines are followed and that all documents meet proposal guidelines. 

  • Obtain and coordinate the gathering of documents  

  • Will be the main liaison and will need to manage all large grant submissions; Superfund, Program grants as well as T32 and Equipment grants. 

  • Will provide Departmental Chair and SAO, with financial reports as they relate to grant submissions. This information is needed for Reports to the Dean of the MSOM. 

  • Will put together SOPs and training materials for all in the department who submit proposals. 

  • Responsible for budgeting and rebudgeting as it related to new grant funding. 

  • Responsible for ensuring that all documents that require signatory by UM official are obtained  

  • Responsible for the proper recording in our Dept box all pending proposals.  

  • Responsible for processing all MTA’s for the Department. 

  • Responsible for Obtaining approval from Central ORA for all restricted research purchases
