Position Summary

Candidate will perform a variety of high-level administrative support duties for the Cancer Research, Training, and Education Coordination Core (CRTECC) within the UNM Cancer Center. This position will require extensive organizational skills and team effort as the liaison for this unit. Accuracy to detail will be needed for extensive trainee recruitment, tracking and data management, event organizing, purchasing, and travel and itinerary facilitation.

Duties and Responsibilities

1.     Provides a high level of administrative support such as interfacing with faculty members in the core related to trainee recruitment, purchasing, event planning, travel and resolving problems and inquiries of students/trainees. Strong communication skills, as well as excellent telephone etiquette, and a high level of recall skills is a must.

2.     This position will require the handling of confidential information, which requires discretion, diplomacy, and integrity.

3.     Conduct visits/presentations to local high schools and undergraduate partner institutions.

4.     Organizing meetings/events for recruitment activities and coordinating with other UNM Cancer Center/SOM staff and other education offices and faculty as needed.

5.     Managed calendars for recruitment and training events.

6.     Provide support for summer programs, organize and schedule individuals for orientation sessions.

7.     Entering trainee data into national platforms as well as maintain internal databases on trainee information.

8.     Prepare/organized printed materials for communications.

9.     Coordinate travel reservations, itineraries, and travel reimbursements following UNM procurement policies and procedures.

10.  Monitor, reconcile and assist with purchasing and use of UNM P-card for the acquisition of supplies, memberships and participant incentives; reconcile purchasing documentation using electronic filing system and CCRA purchasing database.

11.  Prioritizing and managing multiple projects simultaneously and being able to follow through on issues in a timely manner.

12.  The position requires high attention to detail, and the ability to anticipate the needs of faculty and staff.

13.  Performs miscellaneous job-related duties as assigned.

The University of New Mexico Comprehensive Cancer Center is the Official Cancer Center of New Mexico and the only National Cancer Institute-designated Cancer Center in a 500-mile radius. Its more than 136 board-certified oncology specialty physicians include cancer surgeons in every specialty (abdominal, thoracic, bone and soft tissue, neurosurgery, genitourinary, gynecology, and head and neck cancers), adult and pediatric hematologists/medical oncologists, gynecologic oncologists, and radiation oncologists. They, along with more than 600 other cancer healthcare professionals (nurses, pharmacists, nutritionists, navigators, psychologists and social workers), provide treatment to 65% of New Mexico’s cancer patients from all across the state and partner with community health systems statewide to provide cancer care closer to home. They treated almost 15,000 patients in more than 100,000 ambulatory clinic visits in addition to in-patient hospitalizations at UNM Hospital. A total of nearly 1,855 patients participated in cancer clinical trials testing new cancer treatments that include tests of novel cancer prevention strategies and cancer genome sequencing. The more than 123 cancer research scientists affiliated with the UNMCCC were awarded $38.2 million in federal and private grants and contracts for cancer research projects. Since 2015, they have published nearly 1000 manuscripts, and promoting economic development, they filed 136 new patents and launched 10 new biotechnology start-up companies. Finally, the physicians, scientists and staff have provided education and training experiences to more than 500 high school, undergraduate, graduate, and postdoctoral fellowship students in cancer research and cancer health care delivery. Minimum Qualifications

High school diploma or GED; at least 6 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

1.     Ability to communicate effectively, both orally and in writing. Must be able to create, compose, and edit written materials

2.     Ability to gather data, compile information, and prepare reports

3.     Database and records management skills

4.     Knowledge of human resources concepts, practices, policies, and procedures

5.     Maintain confidentiality along with excellent judgment and discretion at all times

6.     Ability to analyze and solve problems

7.     Experience planning, organizing, and executing events

8.     Arrange complex and detailed travel plans, itineraries, and agendas, prepare conference rooms, including supplies and lunches upon request

9.     Skill in organizing resources and establishing priorities

10.  Experience with UNM purchasing policies and procedures with regard to DPEZ’s, PCard, and travel

11.  Experience working with students/recruits/trainees

12.  Experience with Banner and My Reports; UNM Financial Systems

13.  Skill in the use of personal computers and related software applications – All MS Office Programs and Adobe Pro
