Graduate Program Assistant


Position Summary

Representing the Department of Educational Administration in the College of Education, this position will be responsible for providing general office assistance and support of graduates programs within the department. Specific job duties and responsibilities include, but are not limited to: coordinating the support functions for the graduate academic programs; assisting with initial degree admissions, academic progress, records maintenance, and graduation clearance; performs a wide variety of departmental support duties for faculty, staff, & students, including processing reimbursements, submitting financial transactions, and assisting with departmental events; serves as a liaison with students, faculty, staff, alumni & other members of the campus community; completing the hiring process of Graduate Assistants for the department from start to finish; other duties as assigned to carry out the mission of the Department of Educational Administration, the College of Education, and Michigan State University.

Graduate Program Student Progress for K-12 Administration & Education Policy Programs; Maintains student academic files and program databases; assists faculty and students with course registrations, overrides, and grade changes; monitors course incompletions, deferrals and grade extensions; monitors the completion of the Administrator Certification Certificates; informs students of Program, Departmental, College, and University policies; processes PhD annual reviews; assists in reviewing final Master’s Program plans; processes all stages of University forms for graduation including final certifications; prepares academic progress reports for department and program administrators as requested; compiles graduation statistics; maintains student database warehouse.

Graduate Program Admissions for K-12 Administration & Education Policy Programs; Prepares and arranges student materials for faculty admission decisions; prepares student acceptance packages and assists faculty and staff in coordinating the enrollment process; serves as a liaison with students, faculty, staff, alumni, the public and other important constituents to answer questions and problem solve on behalf of the graduate programs; assists with international student inquiries related to admission; prepares admissions reports for department and program administrators as requested.

Financial Transactions; Provides support in processing financial transactions for all 3 programs, including but not limited to: assists with pre-trip travel requests, travel arrangements and scheduling, compiles receipts, and submits reimbursements and/or vouchers; assists in providing reports related to the program budgets; assists with payments to vendors; acts as program liaison with various campus and off-campus offices related to financial transactions.

General Office Support and Human Resources; Assists faculty with finding and interpreting University policies and procedures; monitors class enrollments; assists faculty with course work, including: review of documents, copying, printing, and scanning; assists with scheduling faculty meetings and room reservations; manages program Listservs. Completing the hiring of Graduate Assistants including compiling funding, GA level, and other information from faculty, Unit Coordinators and Supervisor, sending offer letters with other required documentation, completing background check and I-9 information and entering appointment in the EBS system.

Event Support; Provides support for the program events including, but not limited to: schedules room reservations; distributes pamphlets and other communications; assists with questions and logistics during day of event; serves as point of contact for guest(s); assists with coordination of event food and logistics.

Other duties as assigned to carry out the mission of the Department of Educational Administration, the College of Education, and Michigan State University


Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate's degree in business, education, higher education, psychology, business or a related field which corresponds to the area of employment; one to three years of related and progressively more responsible or expansive work experience in university/college/academic admissions or related administrative position; or an equivalent combination of education and experience.


Desired Qualifications

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree in a related field;  experience with Microsoft Office including: Word, Excel, Access, PowerPoint, and Outlook; experience with University systems including, but not limited to Campus Solutions, SAP, Kuali-Finance and Business Intelligence; previous experience working in an academic unit in a higher education institution; knowledge of University policies and procedures; experience in a service-based work environment; experience with data analysis; experience working with student records; ability to work effectively on multiple tasks with changing priorities; displays strong interpersonal skills, including oral and written communications; displays a great attention to detail; demonstrates a work orientation that includes problem solving, seeing the bigger picture, forecasting potential trouble spots, taking initiative, the ability to work as part of a team and independently, and a dedication to continuous self-improvement.
