Job Summary:

Join the Colorado School of Public Health (ColoradoSPH) as the Business Services Professional. This position is a key member of the school’s Central Administration and will provide an extensive array of independent professional and administrative support to the Dean, Associate Deans, and Assistant Deans within the ColoradoSPH.

This position is responsible for supporting special projects and initiatives, events, school symposia, and official school functions, such as high-level leadership recruitments, historical documentation oversight, school committees, and administrative activities on behalf of the Dean, Associate Deans, and Assistant Deans.

This role will support human resources and recruitment operations of the school’s leadership team, as well as act as a backup for financial/fiscal operations.

Key Responsibilities:

  • Provide executive-level process coordination to facilitate meetings, visits, and events for special guests, visitors, and speakers (e.g. create agendas, book meeting rooms, send meeting invitations, coordinate catering, etc.).
  • Support the executive-level recruitment process for leadership positions (Department Chairs, Associate Deans, etc.) as identified by and in support of the Dean; act as main point of contact for search committees and candidates.
  • Coordinate airfare and hotel reservations for visitors and guest speakers.
  • Manage special events and functions on behalf of school leadership (e.g. receptions, community gatherings, co-curricular training, Dean’s Speaker Series, recognition/awards ceremonies, etc.).
  • Oversee event logistics, such as invites, room reservations, paperwork, event setup and cleanup, payments, badge access, risk management and compliance.
  • Coordinate meetings for department and central administration leadership (e.g. room reservations, refreshments, agenda and document sharing, meeting minutes, etc.).
  • Serve as initial contact for the Dean’s Office at the front desk; communicate with individuals to ensure a high-level of customer service.

This is a full-time position that reports to the Assistant Dean of Operations. This position will also receive direction from the Dean, Associate Deans, and Assistant Deans within the ColoradoSPH.

Qualifications:

Minimum Requirements

  • A bachelor’s degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems or a directly related field from an accredited institution.
    • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • One (1) year of professional level experience.

Preferred Qualifications

  • Experience working with Salesforce, Qualtrics, Cvent and Zoom.
  • Prior experience working in higher education or a public health organization.
  • Experience with event and meeting planning.
  • Experience with MS Office applications.
  • Experience with procurement, financial, budget, or fiscal operations.

Knowledge, Skills, and Abilities

  • Ability to communicate effectively, both in writing and orally, with a variety of professionals, administrators, and constituent groups.
  • Ability to establish and maintain effective relationships with faculty, staff, students, school campuses, university administrators, community partners, vendors, and contractors at all levels throughout the institution.
  • Outstanding customer service skills that include exercising tact, diplomacy, and confidentiality in a variety of situations.
  • Demonstrated commitment and leadership ability to advance diversity and inclusion.
  • Ability to navigate a complex academic environment.
  • Outstanding organizational skills and the ability to establish priorities and coordinate multiple highly detailed projects simultaneously.

Anticipated Salary Range:

The starting target salary for this position has been established as $54,500 - $60,000.

The above salary represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation depending on the level.
