Department Description

The Cal Aggie Alumni Association (CAAA) serves members and alumni of UC Davis in support of the campus and its mission. UC Davis has more than 300,000 alumni and more than 42,000 dues paying members. CAAA executes more than 125 events annually and engages thousands of alumni, parents, students, retirees, and emeriti. Attendees and volunteers include high-level donors, campus administrators, legislators, business, and community leaders which span the globe and support efforts of more than 40 alumni networks worldwide.

Development & Alumni Relations (DEVAR) provides leadership in building enduring public trust, understanding, and support for UC Davis and its mission of teaching, research, and public service. DEVAR provides leadership, coordination, and support services to help the university meet its mission of research, teaching, and service by building philanthropic support and executing approved fundraising programs that support the university’s highest priorities and initiatives.



Job Summary

Under the direction of the Associate Executive Director of Programs, the Programs Team is responsible for managing the engagement of alumni, parent, and/or student volunteers and managing the CAAA Leadership Scholarship program and our Affinity & Special Interest Scholarships. Duties include managing existing volunteer network leaders or parents council as well as identifying, soliciting, and onboarding new volunteer leaders; planning and executing events; increasing the awareness of engagement opportunities among alumni, parents, and/or students; fostering connections between UC Davis, the Cal Aggie Alumni Association (CAAA) and our constituents, resulting in growth in event participation, membership sales, social media activation, brand awareness, and volunteer participation. It also includes providing support as needed to the CAAA Board of Directors. Programs Team portfolios may include international, out-of-state, in-state, or special interest and affinity, and internal campus alumni networks, Parents Council, Student Alumni Association and/or the CAAA Scholarship program. This specific role will work with a portfolio that includes Parent Programming, the Parent Council, Student Programs, SAA, and the Leadership Scholarship Program.

4 WEEK RECRUITMENT PERIOD: Applicants will be screened after two weeks; and then on a weekly basis.  Priority will be given for applications received by 4/23/2024 . The position can be filled prior to the removal date.

WORK ENVIRONMENT

·       Work occasional evenings and weekends to support program-specific and signature events.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

·       Experience in program management, volunteer management, or volunteer communications.

·       Experience in event and program management, developing a broad range of events from small gatherings to large-scale events. Implementation and monitoring benchmarks to measure program effectiveness and quality.

·       Experience providing customer service and interacting with individuals at all organizational levels as well as with a culturally diverse constituency of clients, volunteers, and alumni.

·       Experience building and maintaining positive relationships via a variety of mediums including in person, on social media, and through email.

·       Experience communicating clearly and effectively and creating content for newsletters, social media posts, and large emails using an email platform. Skills to adjust messaging and tone for different audiences.

Minimum Knowledge, Skills, and Abilities (KSA):

·       Proficient in Microsoft Office Suite.

PREFERRED QUALIFICATIONS

Preferred Education/Experience:   

·       Experience handling confidential documents.

·       Experience in budget management; tracking expenses and creating reports.

·       Experience working in databases, exporting, and reviewing analytics.

·       Expert knowledge of Excel.

·       Work experience at an Alumni Association or in the alumni relations field.
