SUMMARY:

The Administrative Associate V, under general supervision, provides administrative support to  Financial Management area and. provides front office support for campus visitors, students, faculty, and staff of Texas A&M University-Commerce. The Administrative Associate V should provide excellent customer service, professional telephone etiquette, exercise good judgment, while upholding confidentiality in a fast paced environment.

DUTIES & RESPONSIBILITIES:

  • Greets and assists visitors, answers and routes calls, provides information and referrals. Responsible for daily mail operations by sorting  and routing to proper locations within suite and when necessary, across campus.
  • Assists with responding to student concerns/questions/calls/emails by monitoring and coordinating communication efforts, by providing accurate information to alleviate further elevation to Bursar and Associate Bursar.
  • Collect and organize student business processes and information, by mail, email, telephone, and the department website ensuring information given is current and precise.
  • Posts information to student accounts and student information systems. Verifies processes and reviews forms, reports, and other documents for accuracy. Tracks, anticipates and prepares for upcoming deadlines that require action.
  • Obtains services, and supplies needed for the suite, maintaining a surplus of office supplies, and determining the appropriate method of purchase while following University policy and procedures. May deliver, pick up, or receive documents, supplies, equipment, or materials.
  • Organizes, coordinates, plans, and conducts departmental events by securing space, equipment, food, preparing  invitations, announcements, agendas, brochures, and packets, making travel arrangements and reservations, and overseeing the event as it occurs.
  • Serves as the travel coordinator for the entire Bursar’s Office by preparing pre-trip requests, expense reports, travel reimbursements, and trip reconciliations through CONCUR.
  • Works with Banner, Mane Market, Concur, FAMIS, Canopy, and updates and maintains website for Bursar’s office and Student Accounts.
  • Oversees the Bursar area property inventory, ensuring yearly reporting, accountability, replenishment, and surplus procedures are properly followed and submitted according to the University Property Office procedures.    
  • Assists with employment processes by monitoring and maintaining applicants files, preparing master files for search committees, preparing correspondence to applicants if necessary, entering required information into the applicant database, preparing position authorization forms and personnel action forms and monitoring complete employee applicant process.
  • May participate in the hiring, training, and supervision of graduate assistants, student workers and other support staff.
  • Remains competent and current  by  attending  professional development courses, software training classes, and courses and/or training sessions as directed by the supervisor or required by the University. Provide excellent customer service.
  • Perform other duties as assigned.

MINIMUM REQUIREMENTS:

  • Education: High school diploma
  • Experience / Knowledge / Skills:  Five (5)  years of related experience.  Knowledge of word processing, spreadsheet, and database applications.  Effective verbal and written communication skills. 
  • Ability to: Multi-task and work well as part of a team.

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:

Prior Banner experience, excellent communication skills and prior customer service experience preferred.

SUPERVISION OF OTHERS:

Titles of positions supervised (Student Workers, Graduate Assistants etc.)
