What We Are Looking For

The Administrative Associate for Modern Languages & Cultures will support the department in its day-to-day operations and provide administrative support as needed. This position will also foster a people-oriented environment and work closely with various partners across campus. A high school diploma, an active Christian faith and three years of relevant experience is required. An Associate’s degree and five years of experience is preferred.

All applicants must be currently authorized to work in the United States on a full-time basis. 

What You Will Do

  • Manage daily activities of the office; provide administrative support as needed
  • Keep all policies, procedures and websites up-to-date 
  • Manage faculty travel (Travel Authorization Forms, maintain spreadsheet of travel expenses, first approval of expense reports (when this is possible in Ignite), work with office manager on travel) 
  • Use CMS to maintain and update MLC website 
  • Update and manage student data on MLC’s majors and minors 
  • Update and manage student alumni data 
  • Manage textbook orders for each semester 
  • Update departmental brochures for each language or area study as needed 
  • Use AdAstra to schedule rooms for meetings, events, etc. 
  • Work with the Registrar’s office and use AdAstra to manage classroom assignments to meet the needs of faculty and make needed room changes for MLC courses after the optimizer has assigned rooms 
  • Make departmental purchases as needed or at the request of faculty members for research or course materials. 
  • Work with the office manager to input MLC course schedules into ClassAct 
  • Perform all other duties as assigned to support Baylor’s mission 
  • Ability to comply with university policies 
  • Maintain regular and punctual attendance
