The School of Physical Therapy and Rehabilitation Scienceinvites applications for an Administrative Associate III to serve as the lead administrative support for the school. This position is responsible for a wide variety of complex tasks to support the faculty, staff, and students of the Doctor of Physical Therapy (DPT) Program and UMPT Clinics.  This position will:

  • Oversee the admissions process for DPT students.
  • Act as a liaison for the Registrar’s Office.
  • Generate and analyze reports through the Physical Therapist Centralized Application Service (PTCAS) and the Western Interstate Commission for Higher Education (WICHE).
  • Oversee arrangements for students graduating from the DPT program.
  • Make recommendations to the faculty and chair for strategic planning, problem-solving, and efficiencies.
  • Collaborate with the chair to ensure up-to-date web content for UMPT customers.
  • Staff the front desk including prompt response to all phone, in-person, and email inquiries.
  • Other duties as assigned.

Required Skills
  • Knowledge of standard office practices and procedures.
  • Excellent business writing and communication skills.
  • Demonstrated strong interpersonal communication skills.
  • Ability to work effectively in a team environment as well as autonomously using critical thinking and good judgment and multitask with a high degree of accuracy.
  • Ability to maintain detailed and accurate records including both written and electronic files.
  • Proficient in the use of standard office equipment, office computers and related software (e.g., MS Office Suite) and web editing platforms (e.g., Cascade CMS) with the ability to learn new software programs as needed.

Minimum Required Experience
  • Associate’s Degree and two (2) years of related work experience or an equivalent combination of education and experience

Preferred Qualifications
  • Bachelor’s Degree and three (3) years of related work experience in higher education.
  • Working knowledge of University-specific programs (e.g., BANNER, Cyberbear, GrizMart, Coursedog, DiploMatic, Transaction Express, Qualtrics, Submittable, CAPTE Accreditation Portal, WICHE, etc.)
  • Knowledge of University of Montana-specific policy and procedure.

Position Details

Work Schedule:                 Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm schedule.

Salary:                                $16.655/hr Current employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department .

Probationary Period:        Six months minimum
