Normal Work Schedule: Monday - Friday 8:00am to 5:00pm; occasional nights and weekends.


Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.


Additional Department Summary: Assists the Executive Director in the day-to-day operations of the University of Alabama Fraternity and Sorority Community, which is comprised of around 12,000 students in 68 organizations. Oversees the program support, general office, and administrative duties with some variety and complexity. Acts as a liaison to other offices within the University as well as external contacts. Maintains budget records. Supervises student workers. Arranges meetings, itineraries, and agendas. Types a variety of material. Compiles data and prepares reports. Purchases office supplies, program supplies, and other materials. Provides direct clerical and administrative support to the Executive Director, Directors, and OFSL staff as needed. Greets and welcomes office visitors. Answers general questions. Manages office email and telephone communications. Completes required training and promoting a safe, hospitable, and respectful workplace. Has personal accountability for financial reporting and responsibility for establishing, enforcing, and following internal processes and controls as outlined in UA policies and procedures.


Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.


Skills and Knowledge: Excellent verbal and written communication skills. Ability to use and working knowledge of various computer software packages including Microsoft Office Suite and Adobe. Ability to quickly learn additional UA software and databases. Demonstrated commitment to understanding and growth supporting UA's and the Division of Student Life's values and strategic priorities. Demonstrated commitment to expanding multicultural knowledge, awareness, and skills as evidenced through demonstrating self-awareness; understanding and valuing others; demonstrating knowledge of social inequalities; interacting effectively with people from a variety of backgrounds and experiences.


Preferred Qualifications: Knowledge of services and program areas campus-wide, as well as fraternity/sorority community trends and issues. Membership in a social Greek-letter organization. Proficiency in Concur, SGT Banner, and BuyBama.
