Job Summary

The Administrative Analyst will provide a high level of administrative and analytical support in hospital administration. The individual will play a significant role in administering facilities/logistics requests for staff in the Department of Administration. The candidate will perform administrative services and oversee the general operations of the department.  The candidate will support the tracking of invoices and check requests and will monitor Purchase Orders to ensure enough funds are allocated, add funds where needed; submit expense reports, and be able to track the budget for UCSF Health ensuring we don’t exceed the allocated budget targets.  Support the planning and execution of high-level meetings.  

We are seeking an Administrative professional that applies concepts to organizational policies and procedures. Has an in-depth understanding of how to manage a variety of administrative operational issues.  Possesses broad job knowledge and uses analytical skills to assess issues and other organizational-related tasks. Uses skills as an experienced administrative operation professional to manage, plan, and administer the operations of the department. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

Department Description

UCSF Health Administration is a part of the Office of the CEO. Its main function is to support C-Suite executives in daily operations and execution of key priorities.


Required Qualifications

  • Bachelor's degree in a related field or four years of related administrative work experience.
  • Three or more years of related administrative experience.
  • Excellent interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling skills.
  • Demonstrated professional skills including advanced writing, independent problem solving, superior organization, and time management skills 
  • Prior experience organizing meetings, including travel arrangements, logistics and expense reimbursement, writing memoranda, correspondence, and reports, and producing written documents with clearly organized thoughts utilizing the appropriate grammar, sentence construction, and punctuation 
  • Highly proficient in working with advanced MS Word, Excel, PowerPoint, Photoshop, Smartsheet, Zoom/Teams. Ability to develop Word documents, reports, spreadsheets, and draft correspondence.
  • Excellent follow through to include verbal and written protocols and or directions, manage multiple projects simultaneously, meet competing deadlines, be resourceful and work independently with minimal supervision, but also participate effectively as part of a collaborative team
  • Ability to maintain confidentiality and use sound judgment in responding to issues and concerns

Preferred Qualifications

  • Thorough knowledge of university rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and/or personnel management.
  • Proven ability and experience with interacting and communicating with senior-level administrators, faculty, residents, and patients with tact, diplomacy, and discretion 
  • Demonstrated proven experience in providing a high level of executive support requiring confidentiality, discretion, and good judgment 
  • Ability to analyze and interpret data regarding business operations and provide recommendations for efficiency, and budgetary 
  • Working knowledge of common organization-specific and other computer application programs
  • Demonstrated ability to effectively work with individuals at all levels; ability to demonstrate a high degree of confidentiality and discretion, and demonstrate flexibility with the ability to work with diverse personalities
  • The candidate must adapt and apply UCSF’s organizational policies and procedures to all situations.  
  • They will also play an important role in administrative operational services and implement protocols according to the anticipated workflow.
  • The candidate will have a professional demeanor while interacting with faculty, staff, campus, vendors, and community representatives. 
  • Analytical skills support is needed to effectively manage the complexities of an increased office workflow. The candidate must be able to work independently, exercise her/his judgment to resolve administrative operational issues, and execute special projects when assigned.
