Job Description

The Sandra Day O’Connor College of Law is seeking a highly motivated and creative individual who can manage, and complete multiple tasks and priorities related to Foundation/Gift Account Management and Sponsored Projects. This position will report to the Assistant Director of Business Services and will work closely and collaboratively with faculty, staff, students and third parties to plan, direct, organize, execute, and manage a broad scope of professional accounting activities requiring experienced, professional knowledge and application of accounting principles and practices.

Essential Duties

  • Prepares standard foundation and gift accounting reports and statements.
  • Prepares intricate journal entries, maintains complex ledgers, prepares detailed cost accounting information, and reconciles and analyzes reports and ledgers.  
  • Monitors compliance with generally accepted accounting principles and university regulations.
  • Responsible for the day-to-day financial transactions related to foundation and gift account management, including reimbursements, credit card purchases, scholarship transfers and general fund transfers.   
  • Tracks and monitors endowed accounts and reinvestments related to foundation account management. 
  • Interprets accounting data, analyzes reports and recommends action to be taken including re-budgets, indirect cost reconciliations, no cost extensions and carry over account issues. 
  • Implements internal control measures to ensure compliance with applicable policies and procedures.
  • Provides departments with information associated with termination of accounts to ensure all appropriate and authorized expenditures are applied.
  • Assists departments in closeout of sponsored project accounts as requested/needed to ensure accuracy and timeliness of efforts. 
  • Provides general guidance to faculty and staff regarding restrictions and/or allowance of expenditures against sponsored project accounts to ensure consistent compliance with fund requirements. 
  • Monitors performance against budget and prepares analysis of variance reports for management of assigned areas/unit(s). 
  • Researches and provides assistance to management concerning management reports, disbursement of funds, cost sharing tracking and the resolution of budget concerns. 
  • Distributes expenses among accounts to ensure accurate accounting of the use of funds; performs account reconciliations.

Minimum Qualifications

Bachelor's degree in Accounting or a related field AND one (1) year of professional accounting experience; OR, Five (5) years professional accounting experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience with ASU and/or ASU Foundation systems strongly preferred or previous experience working in an academic environment (i.e., Workday, SunRise, PeopleSoft, ASU Foundation Workday, Salesforce); 
  • Experience with Microsoft Office applications (i.e. Outlook, Excel, Word, PowerPoint);
  • Ability to build and maintain and analyze a database for report generation; 
  • Evidence of effective communication skills;
  • Experience in work that requires organizational skills and attention to detail
  • Demonstrated knowledge of accounting principles, practices, and procedures in a university environment; 
  • Experience with computerized accounting and purchasing applications

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%); frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (15%). Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.  Ability to clearly communicate to perform essential functions. Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
